Warehouse Software for Cosmetics & Personal-Care Distributors — Barsavosh Fanavaran guide

Good warehouse software for cosmetics and personal-care distributors keeps three flows apart: stock that was sold, testers and samples handed to retailers, and goods that come back as returns or close to expiry. Avadar Trade does this with dedicated issue types, batch and expiry tracking, commercial documents with VAT, and barcode scanning by phone or scanner.

A beauty wholesaler rarely struggles with heavy pallets. Its headache is volume of tiny, look-alike items: one lipstick line in eighteen shades, a moisturiser in three sizes, a shampoo range in five scents, nail polish, mascara and deodorant, each with its own code. Every brand expects testers on shop counters, pharmacies ask for sachets to give away to their customers, and a steady trickle of product returns from salons and chemists. This guide starts from that reality, maps each pain point to what Avadar Trade actually offers, and ends with an honest list of things it is not built to do.

Where do cosmetics wholesalers lose control of stock?

Picture a hypothetical distributor that represents a handful of skincare and make-up brands and supplies pharmacies, beauty shops and salons across a region. In a typical month, the problems look like this:

  • New-range onboarding: a brand launches twenty-five new SKUs. Two shades with nearly identical names get the same code, and from then on the counts for both are wrong.
  • Testers leaving through the back door: a sales supervisor takes cartons of testers for a store promotion. Without a proper document type, they go out on a zero-value invoice or with no paperwork at all.
  • Returns with no decision: a pharmacy sends back sunscreen with a few months of shelf life left. Nobody knows whether it can be resold or must be set aside.
  • Inflated sales figures: finance asks why one brand’s sales jumped while revenue did not. The answer is the testers above.
  • Unexplained shortages: at month-end a shelf of body lotion is short, and it is unclear whether bottles broke, went out as samples or were picked for the wrong customer.

None of these is dramatic on its own. Added up over a year, they produce a ledger that disagrees with the shelves, sales reports nobody trusts and expired product discovered far too late.

How should testers and samples be recorded in a distribution warehouse?

In the beauty trade, testers are a marketing cost, sometimes shipped separately by the brand and sometimes drawn from the distributor’s own stock. Mini sizes and sachets are given to retailers so they reach end consumers. Both leave the building; neither is revenue.

Avadar Trade provides specialised issue types for exactly this, covering sale, transfer, damage, theft, sample, loan and several more; our guide to recording non-sale stock issues explains the general logic. These issue types are included from the Start plan upward. In practice, a distributor gets:

  • Testers and sachets booked as “sample”, so a brand’s sales are never overstated.
  • Display stands or gondola units lent to a store recorded as “loan”, which keeps a visible trail until they come back.
  • Broken bottles and crushed boxes booked as “damage”, reportable on their own.

A useful habit: agree a monthly tester allowance with each brand and compare it against “sample” issues at month-end. Avadar does not hold the allowance itself, but because every issue carries its type and item, the comparison takes minutes in the Excel export.

Thousands of small SKUs: coding, scanning and labels

When a brand ships fifteen shades of the same product, mistakes come from similarity rather than carelessness. The fix is to read less and scan more. With Avadar:

  • Goods in, goods out and transfers are confirmed by reading a barcode or QR code with a phone or a handheld scanner; typing by hand remains possible when a label is damaged.
  • Searching is not limited to codes. If a shop assistant only remembers “the blue hydrating cream”, the item can be found by name, batch or supplier.
  • Where manufacturer barcodes are unreadable, or for bin locations, you can print your own barcode or QR stickers using the built-in label layouts.
  • Stock counts run by scanning, so a shelf of nail polish is counted bottle by bottle instead of by eye and pencil.

If your item master currently lives in spreadsheets or an older system, P-Soft migrates that data into Avadar; how much is covered depends on the plan and contract.

Expiry control for skincare and personal-care products

Creams, sunscreens, lotions and many hair-care products carry an expiry date, and retailers tend to refuse stock that is close to it. Avadar Trade inherits everything in the Industry edition apart from production, which includes batch and expiry recording plus a first-expired-first-out alert. When picking, the system pushes the lot that expires soonest rather than the one at the front of the shelf. For how FEFO differs from other rotation methods, see FIFO, FEFO and LIFO explained.

From the Pro plan, analytical reports are added: expiry risk, slow movers and shortage trend. For a beauty distributor, the expiry-risk view is the list of lines that can still be cleared through a retailer promotion, and the slow-mover view shows the shades and scents that only occupy space. Our article on slow-moving and dead stock covers what to do with them.

Handling product returns from pharmacies and beauty stores

Returns are frequent in this sector: wrong shade, dented packaging, short-dated stock or a line that simply did not sell in that area. The real risk is not the return itself but returned goods being mixed straight back into sellable stock. A simple routine using Avadar’s existing tools:

  1. Book the returned item as a goods receipt by scanning it, so its batch and expiry are captured again.
  2. Create a separate warehouse or zone such as “returns awaiting check”. Avadar supports multiple warehouses and zones with transfers between them, and quality quarantine with release is inherited from the Industry edition.
  3. Move sound stock back to the sales warehouse; issue unsellable items with the “damage” type so the loss is visible.

Commercial documents, customer identifiers and VAT

A distributor deals with hundreds of retail accounts, each with its own legal details. In Avadar Trade, on every plan, each customer and supplier record holds its official identifiers, such as the economic code, national ID, postcode and IBAN, and the system checks them for validity when entered. Sales documents carry VAT, each document receives its own number, and an automatic notification tells the accountant a new one exists.

From Pro upward, documents can be exported to accounting software with a chart of accounts you configure yourself. Avadar is therefore a stock and trade-document system that feeds your accounts; it does not replace the accounting package.

Which plan fits which beauty distributor?

Warehouse and user limits usually settle it: Start allows one warehouse with five users, Pro stretches to five warehouses and twenty users, and Elite removes both caps.

  • Single-site wholesaler: Start already includes scanning, issue types and commercial documents.
  • Central warehouse plus regional depots: Pro, for several warehouses, expiry and slow-mover analytics and the accounting export. Operators in each depot see only their own stock.
  • Large network needing formal release control: Elite, for a release chain in which the request, the accountant, the supervisor and finally the issue note each carry a digital signature and the full customer club.

What Avadar Trade does not do

  • It is not a full accounting package; it prepares and exports documents for one.
  • Field-sales apps, van routing or order taking by reps in shops are not part of its described features.
  • It does not define tester budgets or tiered brand discount schemes; its reports inform those decisions.
  • It does not monitor warehouse temperature or humidity.
  • It has no production module; if you fill or pack your own products, look at the Industry edition.

Frequently Asked Questions

How do I record testers so they do not count as sales?

Use the “sample” issue type. Specialised issue types are on all three Avadar Trade plans and are reported separately from sales.

Does Avadar track expiry dates on creams and sunscreens?

Yes. The Trade edition records batch and expiry and alerts you to pick the soonest-expiring lot first. The expiry-risk report is added from Pro.

Which plan suits several regional warehouses?

Pro handles up to five warehouses; Elite has no limit. Each operator only sees the warehouse they are assigned to.

Do we need dedicated scanners?

No. Phones can scan barcodes and there is an Android app. Handheld scanners are simply quicker for high-volume receiving and picking.

Can our existing product list be imported?

Yes. P-Soft moves prior data from Excel or earlier software into Avadar, with the scope set in your plan and contract.

To see testers, returns and expiry handled with your own product list, explore Avadar Trade and request a demo.
