Trading & Distribution Warehouse Software: Avadar Trade

Trading & Distribution Warehouse Software: Avadar Trade

Avadar Trade is P-Soft’s warehouse software for trading, distribution and contracting companies. It ties every goods issue to a multi-step approval workflow with digital signatures: stock is reduced only after final approval. This edition has everything in Avadar Industry except the production line, and adds commercial documents and accounting export.

If you run a production line, Avadar Industry is the better fit; if your work is moving other people’s goods, see Avadar Cargo. All three editions are summarised on the Avadar inventory management software page.

Checklist: is Avadar Trade built for your trading warehouse?

  • No goods should leave the warehouse without sign-off from the accountant, supervisor or project manager.
  • Your goods-out movements aren’t just sales; you also have transfers, samples, loans, damage and theft.
  • VAT applies to your sales documents, and counterparties’ business details must be correct.
  • Your accounting runs on Sepidar, Hamkaran System or Holoo (common Iranian accounting packages), and re-entering documents is a constant chore.
  • You are a contractor and want to see purchases, consumption and balance for each project separately.
  • You hand tools out to people, and that handover needs its own approval too.

Issue orders with digital signatures and a multi-step approval workflow

The approval workflow in Avadar Trade can be switched on, and it runs like this:

  1. A goods request is registered.
  2. Approval from the accountant, supervisor and project manager is obtained in the order of the defined steps.
  3. At each step, the approver applies a digital signature.
  4. After final approval the issue order is generated, and only then is stock reduced.

You decide which role approves which step. A separate approval chain can also be defined for handing out tools. The result: no goods leave without an owner, and it is clear who approved what, and when.

Hypothetical example: a request for 40 bags of cement for a site

Take a hypothetical contracting company. The site supervisor registers a request for 40 bags of cement. The accountant checks the project budget and signs, the warehouse supervisor confirms stock, and the project manager gives the final signature. Up to this point warehouse stock is untouched. With the project manager’s signature the issue order is generated, 40 bags are deducted from stock, and the consumption is recorded against that project. If any approver rejects the request, nothing leaves the warehouse. The order and roles of approvers are set by each company in its own configuration.

Goods-out control with specialised issue types

When every goods-out is recorded under one heading, next month’s report tells you nothing. Avadar Trade has specialised issue types, including sale, transfer, theft, damage, sample and loan. With this breakdown you can see how much of the stock reduction was genuine sales and how much was lost.

For example (hypothetical), if a quarterly report shows the share of “sample” and “loan” in one product group’s goods-out steadily rising, the sales manager knows where a new policy is needed. The same breakdown keeps damage and theft from being mistaken for sales, so gross profit is seen more realistically.

Commercial documents and VAT on sales documents

  • Recording customer and supplier business identifiers (Iranian national ID, company national ID, economic code, Sheba bank account number and postal code) with validity checks
  • VAT calculation on sales documents
  • Document numbering and automatic notification to the accountant

Why do these details matter? In practice, a wrong economic code or incomplete bank account number is usually discovered only once the document has reached the finance team and fixing it takes time. Validating identifiers at entry catches the error at the very start. Automatic notification to the accountant means a sales document doesn’t wait for a follow-up phone call, and document numbering makes every issue order traceable all the way to the books.

Who in a trading company uses which part?

  • Storekeeper: scanning receipts and issues, stocktaking and label printing
  • Accountant: approving requests, receiving document notifications and using the export in the finance software
  • Supervisor and project manager: signing approval steps and viewing project purchases, consumption and balance
  • Auditor: read-only access to documents and reports

Export for Sepidar, Hamkaran System and Holoo

Avadar Trade doesn’t replace your accounting software; it works alongside it. Its export is prepared to suit common Iranian accounting packages such as Sepidar, Hamkaran System and Holoo, and the chart of accounts is configurable to match your account codes. The exact transfer method into your own software is best reviewed in the demo session.

Distribution and contracting warehouses: project reports and inherited features

For contractors, reports on purchases, consumption and balance per project are ready to use. For trading and distribution companies, the Industry edition’s features except the production line are available, including serial warranties and the customer club. Avadar’s shared core is there too: barcode and QR scanning with a phone or scanner, multiple warehouses with transfers between them, stock cards, Persian-language Excel export and viewing data during internet outages. From the Industry edition, batch and expiry tracking with FEFO alerts, quality quarantine and batch recall are also included in this edition; for distributors of dated goods that traceability is very valuable. Ask the P-Soft team during the demo which plan each of these features sits in for the Trade edition.

Speed, security and where it runs

Avadar stays fast even with hundreds of thousands of items, and pages open in a fraction of a second. No installation is delivered with a default password, and all system changes are logged; for a company that works with approval workflows, that means a clear trail for every action. Installing on your own company server, even without internet, or using it online on P-Soft hosting are both possible. A read-only auditor role is also available for review without the ability to change anything.

Avadar Trade is designed around the trading and distribution warehouse; field-sales (van sales rep) or delivery-route features are not listed for it. For that side, read our articles on distribution management software and the warehouse inventory software guide.

Avadar Trade in short: approval-based inventory software for wholesale and distribution

Avadar Trade is the edition of P-Soft’s Avadar for wholesalers, distributors and contractors who need formal control over every item leaving the warehouse. A goods request passes through signed approval steps before an issue order is created, every outbound movement is classed by type, and sales documents carry checked counterparty data. It carries everything Industry offers apart from production, and runs on P-Soft hosting or your own server.

Topic What Avadar Trade offers
Built for Trading, wholesale, distribution and contracting warehouses
Outbound control Request, staged sign-off with digital signatures, then the issue order (approval workflow on Elite)
Inherited from Industry Batch and expiry with FEFO alerts, quality quarantine, batch recall, serial warranty, customer club
Commercial documents Counterparty identifiers with validity checks, VAT on sales documents, numbering; the fields follow Iranian requirements
Accounting link Works beside your accounting package; export tuned to common Iranian software (from Pro)
Deployment and devices P-Soft hosting or your own server, even offline; browser, Android app, home-screen install
Earlier data Migration from Excel or previous software, within the scope of your plan and contract
Support Official channel on all plans; phone and setup training from Pro; priority and an account manager on Elite

Who uses distribution and wholesale inventory software? Typical scenarios (hypothetical)

  • A building-materials wholesaler serving Gulf contractors: sales staff raise requests for site deliveries, and the accountant and branch supervisor sign before anything is released, so goods no longer leave on a verbal OK.
  • A distributor of dated goods such as food or cosmetics: batches and expiry dates are kept, FEFO alerts push near-expiry cartons out first, and a faulty batch can be traced to the buyers who received it.
  • A fit-out contractor with several live sites: each project’s purchases, consumption and remaining balance are reported on their own, and tools handed to site crews follow a separate approval chain.
  • An equipment importer selling through dealers: demo units lent to showrooms, samples, damage and theft are booked as distinct issue types, and serial warranties are checked when a unit comes back.

Avadar Trade vs spreadsheets and email approvals

Control point Spreadsheet and email Avadar Trade
Who authorised a release An email or a phone call, hard to find later A digital signature stored at each step
When stock changes Often before approval, corrected afterwards Only once the last approver signs and the issue order exists
Why stock went down A single “out” column Sale, transfer, sample, loan, damage, theft and more
Wrong counterparty details Spotted by finance at month end Identifiers checked when they are entered
Data into accounting Retyped by hand Export with a configurable chart of accounts
Contract costs A separate sheet per project Purchases, consumption and balance per project

Rolling out Avadar Trade: from approval design to go-live

  1. Design the chain: decide who requests, who signs which step and whether tool handouts need their own route; the demo is the place to model it.
  2. Match the plan: commercial documents and issue types are on every plan, accounting export and warranty start at Pro, and signed multi-step approvals with the full customer club sit in Elite.
  3. Install: on P-Soft hosting or a server in your building.
  4. Load data: map the export to your account codes and bring over item and counterparty lists from Excel or the old system, within your plan and contract.
  5. Train and go live: setup training and phone help come with Pro, while Elite adds priority support and a named account manager.

Frequently Asked Questions

Does Avadar Trade replace Sepidar or Holoo?

No. It produces an export suited to these packages, and your accounting stays in your current software.

When is stock reduced in the approval workflow?

Only after final approval and generation of the issue order; an unapproved request doesn’t change stock.

Which plan includes the approval workflow with digital signatures?

The Elite plan; commercial documents and VAT are available from the Start plan.

How is Avadar Trade different from Avadar Industry?

Trade has no production line, but adds approval workflows, commercial documents, specialised issue types and accounting export.

Is it suitable for a wholesale distribution company?

It suits the warehouse and goods-out control of a distribution company, but it has no field-sales or delivery-route features.

To see the approval workflow and digitally signed issue orders on a real sample, book an Avadar Trade demo.

Can Avadar Trade be used outside Iran, for example in the UAE or Germany?

Honestly assessed: the warehouse side, meaning scanning, multi-warehouse stock, approvals, issue types and batch tracking, is not tied to one country. The counterparty identifier fields, VAT handling and the accounting export, however, are designed around Iranian requirements and Iranian accounting packages, and no compliance with other countries’ VAT or e-invoicing rules is claimed. Raise your country’s needs in the demo before deciding.

Can the approval workflow be switched off for routine issues?

The approval workflow is optional: it is switched on when you want it, you choose which role signs which step, and a separate chain can be set for tools. Rules such as value thresholds or different routes per product group are not listed features, so if your company needs that kind of branching, check in the demo how far the configuration goes.

Do we have to re-enter our items, customers and suppliers by hand?

No. P-Soft migrates earlier data from Excel or previous software into its products, and the scope is agreed per plan and contract; on Elite it is part of the support package. During import, customer and supplier identifiers go through the same validity checks as manual entry, which is a good moment to clean up old records before they reach your sales documents.
