Quality Quarantine in Inventory: QC Hold and Release Guide

Quality quarantine in inventory means stock whose quality has not been approved yet is held apart from usable stock, so nobody issues it to production or ships it to a customer until someone explicitly releases, returns or scraps it. In Avadar Industry, quality quarantine and release come together with batch and expiry tracking from the Pro plan upward.
Picture a hypothetical morning at a plastics plant. A delivery of resin arrives, and the sample test will not be back until tomorrow. At noon the production lead needs material for a rush order, and the storekeeper sees plenty on the stock card. If nothing in the system says “this lot is not approved”, the resin goes to the line and any defect goes into the product. This guide is about that gap between goods arriving and quality being confirmed: what to hold, how to hold it, and who gets to let it go.
What is a QC hold, and why must held stock be blocked from issue?
Held stock is physically in the warehouse but not cleared for use or sale. That is not the same as damaged stock; the goods may be perfectly fine and simply waiting for a decision. The point is that until the answer is known, the safe assumption is caution.
Why is a “do not use” sheet taped to the pallet not enough? Because warehouses are not run by eyesight alone. Picks are generated from system quantities, shifts change, and a new storekeeper may never see the sheet. When the quality status lives in the inventory software itself, usable stock and undecided stock become two different numbers, and issue decisions are made on the right one.
When should goods go on quality hold?
Every plant has its own rules, but the situations below come up in most manufacturing warehouses. Treat the table as a starting point and extend it with your quality team’s procedure:
| Trigger | Why it is held | Typical decision owner |
|---|---|---|
| Raw material subject to incoming inspection | Inspection result not back yet | Quality lead |
| Damaged packaging or broken seal | Contents may be compromised | Storekeeper with quality lead |
| Customer complaint about a specific lot | Remaining stock of that lot is suspect | Quality or sales manager |
| Customer returns | Resale fitness is unknown | Quality lead |
| Supplier alert about a production run | The whole run may be affected | Purchasing and quality |
The key is to hold the lot, not the item. If you have three lots of the same material and only one is suspect, the other two should keep flowing.
Incoming quality inspection: from unloading to decision
A simple goods-in routine for material that needs inspection might run like this:
- Book it in with its lot. Record the batch number and expiry date and apply a barcode or QR label.
- Set the quarantine status. Put that batch on quality hold so it shows apart from available stock.
- Separate it physically. Move the pallets to the area you reserve for undecided goods.
- Inspect. Sampling and testing happen outside the inventory system, under your quality team’s procedure.
- Record the decision. The outcome is entered and the batch is either released or sent down another path.
Avadar is not a laboratory system and does not store test results. Its role is to make sure the stock status in the warehouse is correct and clearly separated. If your factory needs inspection plans, tolerances and non-conformance handling inside the production process itself, that belongs to Data, P-Soft’s factory ERP; our article on production quality control walks through it.
Releasing stock from quarantine: the three possible outcomes
A hold that never ends becomes a problem of its own. Every quarantined batch eventually goes one of three ways:
- Release: quality is confirmed and the batch returns to usable stock. In Avadar Industry the release is recorded as its own step, just like the hold.
- Return to supplier: the goods leave on an issue document and stock goes down.
- Scrap: the goods are unusable and must be written out of stock on a document, so the numbers match reality.
Two behavioural rules matter just as much. First, decide in writing who may approve a release. Second, because every change in Avadar is logged, you can later see who released a batch and when, which is useful during internal audits.
How held stock shows up in your inventory system
The main benefit of a system-level hold is that quarantined quantities stop disappearing into a single total. With the quality status recorded against the batch, a production planner knows how much material is truly ready and how much is still awaiting a verdict before committing to a schedule. Instant search by batch, barcode or supplier is part of every Avadar edition and makes finding a held lot on the racks quick.
From the Pro plan, analytical reports such as expiry risk and slow movers are added, showing which items are drifting toward trouble.
Quarantine and shelf life: the clock keeps running
A common mistake is to treat held stock as frozen in time. Expiry dates do not wait for the quality team. Material that sits on hold for two weeks has lost two weeks of usable life, and once released it may have little time left to be consumed.
Avadar Industry warns on a first-expired, first-out basis for batches. In practice, review the lots closest to expiry first, and once released, push them to the front of the issue queue. The reasoning behind that rule is laid out in our comparison of FIFO, FEFO and LIFO.
When suspect stock has already left the building
Quarantine covers what is still on your shelves. Sometimes a problem is found after part of a lot has shipped, and holding the remainder is not enough; you need to reach the customers who received it. On the Elite plan of Avadar Industry, one-click product recall stops the entire batch and produces the full list of customers who received it, with a recorded history of every action. See our batch tracking and recall guide for the steps of an orderly recall.
Long-held stock also carries a hidden cost: it takes space, ties up capital and can miss the supplier’s return window. On Elite, the hidden warehouse cost analysis shows “quarantine” as one of eight separate categories, with practical suggestions.
Common mistakes with quarantined goods
- A hold nobody owns: stock is stopped but no one is responsible for chasing it, so it sits for months.
- Separation only in someone’s head: the status is never recorded, and when that person is on leave the knowledge goes too.
- Blocking the whole item instead of one lot: a single suspect run freezes all stock of that material and production stalls for no reason.
- Verbal release: someone says “it’s fine” on the phone and the goods are used with no recorded decision.

Weekly quarantine review checklist
- Pull the list of every batch currently on hold.
- Give each one a named decision owner and a deadline.
- Move batches close to expiry to the top.
- Check that each batch’s physical location matches its system status.
- Escalate anything past its deadline to management.
- Book returns and scrap decisions out of stock on a document.
Frequently Asked Questions
Which Avadar edition and plan has quality quarantine?
Avadar Industry, from the Pro plan, together with batch and expiry tracking.
What is the difference between quarantined stock and returned stock?
Quarantined stock is still awaiting a decision; returning it to the supplier is one of the possible decisions after review.
Does Avadar record lab test results?
No. It manages hold and release status in the warehouse. For inspection and non-conformance in production, Data is the right fit.
Why link a quality hold to the batch?
So only the suspect run is stopped, while healthy lots of the same item keep moving.
What if part of a suspect batch has already been sold?
Hold the remainder and recall the shipped part. One-click recall is on the Elite plan.
