Inventory Software for Medical Equipment Distributors: A Guide

Inventory software for medical equipment distributors has to handle two very different kinds of stock at once: devices that are tracked by serial number and warranty, and consumables that are tracked by batch and expiry date. Avadar Trade keeps both in one system, together with quality quarantine, one-click batch recall, trade documents and dedicated issue types such as samples and consignment.
This guide is for wholesalers and distributors who buy medical devices and supplies from manufacturers or importers and sell them on to pharmacies, clinics, dental practices, laboratories and hospitals. It covers the distributor’s own warehouse and stock flow, not how equipment is used clinically inside a hospital. The examples are hypothetical. The goal is to match each everyday headache with a specific software feature and show which plan includes it.
Why medical supply distribution is harder than ordinary wholesale
In a typical wholesale warehouse, stock is identified by item code and quantity. For medical equipment that is not enough. One digital thermometer is not the same as another of the same model, because each has its own serial number and warranty start date. One case of examination gloves is not the same as the next, because the production batch and expiry date differ. A mistake in either undermines the distributor’s credibility with customers who rely on it.
Picture a hypothetical month in a distributor’s warehouse:
- A dental practice reports that a curing light stopped working and asks whether it is still under warranty. Nobody can say which serial number went to that practice.
- During the month-end count, several cases of syringes turn up past their expiry date, while newer cases of the same product were shipped first.
- A sales rep took demo units of a pulse oximeter to clinics, and the system has no record of where they are.
- A supplier warns that one batch of sterile dressings has a quality problem. Finding every customer who received it takes a whole day of digging through invoices.
Each of these situations calls for a specific capability. Let us take them one by one.
Serial number tracking and per-unit warranty for medical devices
For devices, the serial number is the backbone. In Avadar, warranty is recorded for each unit with its serial number, warranty type and duration. When goods leave the warehouse, the storekeeper picks the serial number from a list of serials actually in stock, which removes typing errors and prevents shipping a serial that was never received. Later, when a customer calls, a serial search shows when the unit was delivered, to whom, and whether its warranty is still valid or has expired.
In Avadar Trade, warranty tracking is available from the Pro plan. For more on designing this process, read our guide to warranty and serial number tracking.
Batch and expiry management for medical consumables
Consumables such as syringes, gloves, catheters, gauze and bandages rarely carry individual serials, but they always carry a batch and an expiry date. The software has to hold separate stock per batch and remind the storekeeper which batch expires first. Avadar includes a first-expiry-first-out alert, so the batch closest to its date stays in front of the picker and leaves before newer stock.
In Avadar Trade, batch and expiry tracking is part of the Pro plan. The analytical reports in that plan, including expiry risk and slow-moving items, help you decide in time whether near-dated stock should be promoted or returned. Our article on FIFO, FEFO and LIFO explains the picking logic in more depth.
Quality quarantine: holding new deliveries until they are released
Many distributors inspect incoming goods before they become saleable: packaging intact, contents matching the purchase order, supplier paperwork present. Until that check is done, the goods should not appear as available. Avadar supports quality quarantine and release. Stock is first booked into quarantine and becomes saleable only after approval. The same approach works for returns whose condition is still unclear. Ask during the demo which Avadar Trade plan includes quarantine for your setup.
One-click recall when a supplier flags a batch
The hardest day for any distributor is the day stock must be pulled back from the market. The questions are urgent: which customers received this batch, how much is still on our shelves, and what has already been done? In Avadar, a one-click recall stops the whole batch, lists every customer the batch was shipped to, and logs every follow-up action. This is part of the Elite plan. For the broader logic, see our article on batch tracking and product recall.
Trade documents, VAT and issues that are not sales
A distributor does not just move boxes; every sale is a commercial document. In all plans, Avadar Trade records customer and supplier business identifiers with validity checks (the Iranian national ID, company ID, economic code, IBAN and postal code), applies VAT on sales documents, numbers each document and notifies the accountant automatically.
In medical distribution, a large share of outgoing stock is not a sale at all. Avadar Trade’s dedicated issue types, included in every plan, keep these flows apart:
| Issue type | Typical case in medical distribution | Why it must be separate |
|---|---|---|
| Sale | Order shipped to a pharmacy or clinic | Revenue and VAT |
| Sample | Demo unit or supplies for a physician | Marketing cost, not revenue |
| Consignment | Device left with a customer for a period | Still owned by the distributor |
| Damage | Case crushed in transit or storage | Loss analysis and carrier follow-up |
| Transfer | Stock moved to another branch warehouse | Correct balance in each location |
Accounting export, approval chains and digital signatures
From the Pro plan, Avadar Trade exports to common Iranian accounting packages with a configurable chart of accounts, so the warehouse and the finance team stop reporting two different numbers.
The Elite plan adds a multi-stage approval workflow with digital signatures. A distributor handling expensive devices or frequent consignment issues can require a request to pass several roles before stock is released, with inventory reduced only after final approval. Each role signs its own stage digitally.
Which Avadar Trade plan does a medical distributor need?
| Need | Start | Pro | Elite |
|---|---|---|---|
| Trade documents, VAT, dedicated issue types | Yes | Yes | Yes |
| Barcode and QR scanning, labels, recipient signature, Excel export | Yes | Yes | Yes |
| Serial warranty, batch and expiry, accounting export | No | Yes | Yes |
| Expiry risk and slow-moving reports | No | Yes | Yes |
| One-click recall, approval workflow and digital signature | No | No | Yes |
| Warehouses | 1 | Up to 5 | Unlimited |
Most distributors that carry both serialised devices and dated consumables will therefore need at least the Pro plan.
What Avadar does not do
Knowing the limits helps you choose well. Avadar manages the distributor’s warehouse and stock flow. It does not monitor temperatures or the cold chain, and it does not replace the registrations, records or systems that health-sector rules may require of your company. Managing clinical consumption inside hospital wards is outside its scope as well.
Getting started: a checklist for medical supply wholesalers
- Split your catalogue into serialised items, batch-and-expiry items, and items that need neither.
- Define the warranty type and duration for each serialised device.
- Count current consumable stock by batch and expiry date.
- Decide who releases new deliveries from quarantine, and when.
- List your most frequent non-sale issues: samples, consignment, damage.
- Complete the business identifiers of your main customers before go-live.
Product and customer data held in spreadsheets or a previous system can be migrated into Avadar by P-Soft; the extent is agreed in the contract.
Frequently Asked Questions
Is Avadar suitable for hospitals?
This guide targets distributors’ warehouses. Avadar manages warehouse stock flow; clinical consumption on hospital wards is not its focus.
Can serialised devices and batch-tracked supplies share one warehouse?
Yes. From the Pro plan, Avadar Trade offers both serial warranty and batch-and-expiry tracking, managed side by side in the same warehouse.
How are devices left with a customer on consignment recorded?
With the consignment issue type, which keeps them separate from sales with their own report. Dedicated issue types are in every Avadar Trade plan.
Does Avadar monitor warehouse temperature?
No. Temperature and cold-chain monitoring are not part of Avadar and need separate equipment.
How fast can we find customers after a supplier recalls a batch?
With the one-click recall in the Elite plan, the batch is stopped and the list of receiving customers is ready immediately.
