Warranty and Serial Number Tracking Software: Ending Disputes

Warranty and serial number tracking software only prevents disputes if each warranty is tied to the serial number of the exact unit that left your warehouse. In Avadar Industry and Avadar Trade, every item’s warranty is recorded with its serial number, type and duration, the serial is picked from a list on the goods-issue document, and you can see at a glance whether a warranty is still valid or has expired. Both editions include this from the Pro plan.
Most warranty arguments begin the same way. A customer returns with a faulty unit, and nobody can say with certainty whether it is the unit you sold, or when its cover started. The paper warranty card is gone, the invoice only names the model, and the serial number was never written down anywhere. This guide looks at that gap from the warehouse side: where warranty disputes really come from, which data you need to capture on day one, and how serial-based inventory software turns warranty registration into part of everyday dispatch rather than an extra admin task.
Why do warranty claims turn into disputes?
Look at a handful of contested claims side by side and the same root causes tend to appear. These are general observations from businesses that sell serialised goods, and your own situation may differ:
- No serial on the dispatch note. The issue document says “1 × model X”. Months later there is no proof of which serial went to which buyer.
- An unclear start date. Does cover begin on the sale date, the delivery date or the installation date? If the rule is not written down and the exact issue date is unknown, each side quotes the date that suits it.
- Warranty type not recorded. One product carries a manufacturer warranty, another a dealer warranty. Without the type on file, staff cannot tell the customer where to go.
- Units swapped on the shelf. Two identical units sit side by side; the storekeeper grabs the nearest one while a different serial goes into the log.
- Scattered records. Serials live in a spreadsheet, invoices in the accounting package and customer names in a salesperson’s phone. Answering one simple question takes half an hour.
What these cases share is timing: the problem surfaces on the day the product fails, but it was created on the day the product left the warehouse. Get the serial onto the issue document at that moment, and most later debates shrink to a single search.
Serial number registration: what to record for each unit
Before comparing tools, decide what a warranty record must contain. The table below is a practical checklist, with the last column showing where each piece of data lives in Avadar:
| Data | Why it matters | In Avadar |
|---|---|---|
| Serial number | The only unique identifier of a single unit | Warranty recorded per item with its serial |
| Warranty type | Defines who is responsible for the claim | Type stored alongside the serial |
| Warranty duration | The basis for valid or expired status | Duration stored; valid or expired shown |
| Issue document | Proof of which serial went to whom | Serial picked from a list at goods issue |
| Recipient signature | Confirms that this unit was handed over | Recipient signs the delivery note |
| Customer | Links the unit to purchase and contact history | Search by serial or customer name; full customer file in the customer club |
One distinction is worth stating clearly: a batch is not a serial. A batch groups goods produced or received together and is used for quality and expiry tracking; a serial number belongs to one unit. Anything with an individual warranty needs a serial, even if it also belongs to a batch. We cover batches and recalls separately in batch tracking and product recall.
Tracking warranties by serial number at the point of goods issue
The key design decision in any warranty management system is where serial capture happens. If it happens after the sale, in a separate log, it will always lag behind reality. In Avadar, choosing the serial is part of the issue document itself:
- Receiving. Units arrive with their serial numbers and warranty details (type and duration) and get a barcode or QR label.
- Creating the issue document. Instead of typing a serial, the storekeeper picks it from the list of serials in stock for that item. That removes typing mistakes and stops anyone issuing a serial that is not actually in the warehouse.
- Scanning to match. The barcode of the unit physically in hand is read with a phone or a scanner, so the document matches the box.
- Handover and signature. The recipient signs the delivery note, and the dated document stays in the history.
- Status from then on. The system shows whether the warranty for that serial is valid or expired.
The rule for when cover starts (sale, delivery or installation) is a commercial decision and belongs in your terms of sale. What the software gives you is a dated issue document carrying a specific serial, so that rule can actually be applied.
Warranty lookup: answering a customer who calls with a serial
Take a hypothetical industrial equipment distributor. A customer phones to say that a pump bought some months ago has stopped working. Without a system, a staff member hunts for the invoice, asks the warehouse which unit was shipped and then works out the warranty by hand. In Avadar, instant search works on any identifier: serial, barcode, item name or customer name. The staff member enters the serial and sees which warranty type and duration were registered and whether cover is still valid.
This lookup is internal: your own team runs it with their user permissions. If a caller quotes a serial that never appears in your issue records, that absence is an answer too. The unit was probably bought elsewhere, and the conversation becomes clear from the start.
For businesses that handle many customer calls, Avadar’s customer club keeps a complete customer file, call history and an account owner for each customer. With a link to your business phone system, the caller’s details appear automatically. The full customer club is part of the Elite plan, while serial-based warranty tracking is available from Pro.
Which Avadar edition and plan includes warranty management?
Serial-based warranties are part of two of Avadar’s three editions. Industry is built for manufacturers that ship their own serialised products; Trade is built for distributors and traders who buy and resell serialised goods. Cargo, the logistics edition, has no warranty module.
| Feature | Start | Pro | Elite |
|---|---|---|---|
| Scanning barcodes and QR codes for receipts and issues, search by serial, recipient signature | ✓ | ✓ | ✓ |
| Industry: warranty with serial, type and duration | — | ✓ | ✓ |
| Trade: warranty and export for accounting software | — | ✓ | ✓ |
| Full customer club (Industry and Trade) | — | — | ✓ |

Serial tracking software vs a spreadsheet
Many shops and factories start with a spreadsheet of serials, and for a while it works. It breaks down when the sheet is separate from the issue document: the storekeeper dispatches the goods and someone else, perhaps the next day, types the serial into the file. Every gap between those two steps is a chance for error. In serial-based inventory software the two are one step; a serial that is not on the document has not left the building.
If your current serial list sits in a spreadsheet or an older system, the P-Soft team migrates that data into Avadar, with the scope agreed in your contract and plan. Excel export is included in every plan, so you can pull a serial report whenever you need one.
Checklist for rolling out serial-based warranty tracking
- List the products that carry an individual warranty; not everything needs a serial.
- For each product group, define the warranty type (manufacturer, dealer or other) and its duration.
- Write the start-date rule into your terms of sale and brief the sales team.
- Count and scan the serials already in stock so serialised inventory is correct from day one.
- Place barcode or QR labels where they can be compared with the serial stamped on the unit; our barcode label printing guide covers templates.
- Make it a rule that no serialised item leaves without a serial on the document.
- Review warranties nearing their end each month, so any renewal or reminder policy you run happens on time.
Frequently Asked Questions
Which Avadar editions include warranty tracking?
Avadar Industry and Avadar Trade, both from the Pro plan. The Cargo edition does not include warranties.
How is the serial captured when goods are issued?
The storekeeper picks it from the list of serials in stock for that item and can scan the unit’s barcode with a phone or scanner to match it to the document.
Can I see whether a warranty has expired?
Yes. For each serial, Avadar shows whether the warranty is valid or expired based on the registered duration.
Can customers check their warranty online themselves?
Warranty lookup in Avadar is done by your staff, who search by serial or customer name and then answer the customer.
Can you import our existing serial list from Excel?
Yes. The P-Soft team migrates prior data from spreadsheets or older software, with the scope set in the contract.
Want to see serials captured on the issue document using your own products? Book an Avadar demo; someone from P-Soft will get in touch to agree a time.
