Inventory & Warranty Software for Home Appliance Dealers

Inventory and warranty software for home appliance dealers earns its place when it knows every fridge, washer and air conditioner by its own serial number, ties the warranty to that serial, and keeps each branch’s stock separate. Avadar Trade (and Avadar Industry for manufacturers) does this with barcode scanning, serial-based warranty records and a customer club.
Selling appliances is not like selling ordinary stock. Each carton holds an expensive unit with a unique serial, one model comes in several colours and capacities, the showroom display unit is not the same as a sealed one in the back, and a customer may come back a year later having lost the warranty card. This guide is written for appliance retailers, authorised dealers and distributors: it walks through the problems that come up in this trade and then shows which Avadar capability, in which edition and plan, answers each one.
Everyday problems in an appliance store or dealership
Anyone who has spent a few seasons in this market knows these moments:
- “I bought this from you”: a customer brings in a faulty dishwasher, and the invoice only shows the model name. Was it really this unit that left your warehouse?
- When did the warranty start? The sale date is in one book and the serial in another, so checking whether cover has ended eats half an hour.
- Units that are “temporarily” out: a display model lent to another branch, a unit on trial at a customer’s home, a carton damaged in transit. All have left stock, none of them is a sale.
- Branches that do not talk: a customer wants a particular cooler, the main store is out, another branch has three and nobody knows.
- Calls with no history: a returning customer phones and the salesperson has no idea what was sold to them last year.
- Double keying for accounts: stock documents are entered once in the warehouse tool and again by hand in the accounting package.
Serial number and warranty tracking from goods-in to the customer’s door
Most warranty disputes have the same root cause: the serial was never captured when the unit went out. The fix is to know the serial from the moment the carton is received and to link it, at the point of sale, to the issue document and the customer’s name.
In Avadar Industry and Avadar Trade, from the Pro plan you can define the warranty type and length for each item together with its serial. When the storekeeper issues goods, they do not type the serial; they pick it from the serials actually in stock for that item, which rules out typos and duplicates. Later, anyone searching that serial sees whether cover is still running or has expired. Our article on warranty and serial number tracking explains the process step by step.
Fast lookup is on every plan and goes well beyond the product name: a unit can be found by barcode, serial, batch, item name, customer or supplier. Goods in and out are scanned (barcode or QR) using a phone or scanner, and entered manually when a label is missing.
Multi-branch stock control for appliance dealerships
Most dealers run one central warehouse and one or more showrooms. Avadar sets the number of warehouses or branches by plan: one on Start, up to five on Pro and no limit on Elite. Moving a unit between sites is recorded as a transfer, and each operator is restricted to their own warehouse, so the east-side storekeeper cannot alter the west-side records. Management, on the other hand, sees all branches together and can check who has a model before telling a customer it is out of stock.
Home delivery is another sensitive point. Avadar captures the recipient’s signature on the delivery sheet, so if there is later an argument about whether a unit arrived, or arrived intact, the signed document is there.
Samples, loans and damaged units: every issue has a name
In Avadar Trade, from the Start plan, outgoing goods carry an issue type: sale, transfer, sample, loan, damage, theft and several more. A display unit sent to the showroom or a carton dented in transit shows up separately in reports instead of being mixed in with real sales. At month end you know how many loaned units are still out and how much stock was genuinely sold.
Appliance store software with a customer club: when buyers call again
Appliances are a repeat purchase; whoever buys a fridge this year may want a washing machine or a cooker a few years on. Avadar’s customer club builds a full file per customer, with their call history and the staff member responsible for the account. If your company phone system is connected, the caller’s details appear on screen as the phone rings and calling back is one click. Connect your own SMS service and you can text customers too. The complete customer club is part of the Elite plan; read more in customer club and caller ID.
Which Avadar edition and plan suits an appliance seller?
For retailers, dealers and distributors the right edition is Avadar Trade, designed for trading and distribution, which has every Industry feature except production. If you build or assemble appliances yourself, Avadar Industry is the better fit. The table lines up the capabilities that matter in this trade:
| Appliance dealer need | Start | Pro | Elite |
|---|---|---|---|
| Warehouses or branches | 1 site | max. 5 sites | no cap |
| Users | max. 5 | max. 20 | no cap |
| Barcode and QR scanning, label printing, recipient signature, search by serial | ✓ | ✓ | ✓ |
| Issue types (sample, loan, damage …) and trade documents with VAT (Trade) | ✓ | ✓ | ✓ |
| Serial-based warranty with valid/expired status | — | ✓ | ✓ |
| Export for accounting software (Trade) | — | ✓ | ✓ |
| Analytical reports on slow movers and shortage trends | — | ✓ | ✓ |
| Complete customer club | — | — | ✓ |
A hypothetical example: a store with one showroom, one back room and three staff that only wants tidy stock and proper issue types can begin on Start. When the same store opens a second branch and wants every unit’s warranty kept against its serial, it needs Pro. A large dealer with several showrooms and a phone sales desk moves to Elite for the full customer club.
Accounting hand-off and management reports
Avadar does not replace your accounting software, but it removes the second round of data entry. In Avadar Trade from the Pro plan, stock documents export in a layout that Sepidar, Hamkaran System, Holoo and similar Iranian accounting packages can read, with a chart-of-accounts mapping you configure; details are in our guide to exporting warehouse data to accounting. Customer and supplier business identifiers are stored with validity checks.
On the management side, Pro’s analytical reports show which models have not moved for months and which items are heading for a shortage – useful before your next order to the supplier. Dashboards, stock cards and Excel export are available from Start.
What this system does not do
- Avadar is not a repair-shop or after-sales service system; it does not handle repair intake, technician dispatch or repair parts consumption.
- It does not connect to manufacturers’ warranty systems; the warranty you record is your own internal history.
- Caller details and SMS depend on the phone and SMS infrastructure you already have.
Go-live checklist for an appliance store
- Give each model, colour and capacity its own item code, so a white fridge and a silver fridge are not one line.
- Scan in the serials of the units currently on hand.
- Set the warranty type and length per brand or product group.
- Record current display and loan units with the correct issue type.
- Decide which warehouse each user may work in.
- If your history sits in Excel or an older program, arrange migration with P-Soft; how much is moved depends on your plan and contract.
You can have Avadar hosted by P-Soft or installed on a company server, and reach it through a browser, a phone or the Android app, and data stays viewable even during an internet outage.
Frequently Asked Questions
Which Avadar plan includes serial-based warranty?
Pro and above, in both the Industry and Trade editions. The storekeeper picks the serial from stock on issue, and the unit’s cover status shows later.
How do I record a unit lent to a customer?
In Avadar Trade, a “loan” or “sample” issue is recorded separately from a sale, and this is available from the Start plan.
Can I see stock across several branches at once?
Yes. Management sees all warehouses together – up to five on Pro, unlimited on Elite – while each operator stays limited to their own.
Does Avadar work with the store’s phone line?
If you have a company phone system and it is connected, the caller’s file pops up and you can dial with one click. This belongs to the complete customer club on Elite.
Does Avadar manage repairs and after-sales service?
No. Avadar handles stock, serials, warranty records and customers; repair intake and workshop processes are not part of it.
