Spare Parts Inventory Software: How to Run an MRO Storeroom

Spare parts inventory software should identify every part by a unique code, a serial or batch number and a scannable label, keep stock separate for each storeroom, follow warranties and loaned tools, and warn you about dead stock and parts heading for a shortage before a machine is left waiting. Avadar, the warehouse system from P-Soft, does this with barcode and QR scanning, and depending on edition and plan adds warranty tracking per serial number and a hidden-cost analysis of the store.
A maintenance storeroom is a strange kind of warehouse. Most items barely move, yet a single missing gearbox seal can idle a production line for days. This guide explains what makes spare parts management different, how to set up part numbers that stay clean, which features to demand from a system, and which Avadar edition and plan covers each one.
Why spare parts management is different from ordinary stock control
Finished-goods stock turns over quickly and a shortage costs you a sale. MRO (maintenance, repair and operations) inventory follows other rules:
- Thousands of lines, low usage. Many parts are consumed once or twice a year, so nobody remembers what they look like or where they live.
- Criticality varies wildly. Running out of cable ties is a nuisance; running out of a drive belt for the main extruder is an outage.
- Individual identity matters. For expensive components you care about the history of each unit, its serial number and its warranty, not just the quantity on hand.
- Some items come back. Torque wrenches, calibrated gauges and special pullers go out to technicians or contractors and must return.
- Obsolete stock hides. Parts for machines scrapped years ago sit in bins, tying up space and capital that nobody has written off.
A spreadsheet with “description” and “qty” columns cannot carry that load.
Part numbering: the foundation of any spare parts system
Duplicate and ambiguous records cause more storeroom errors than theft or damage. Clean them up before you migrate, using these steps:
- Define families. Group parts as electrical, mechanical, hydraulic, pneumatic, consumables and tools, so reports and searches make sense.
- Issue your own unique code. Keep the manufacturer’s part number as an attribute, not as the key. Suppliers supersede numbers, and two brands may use the same one.
- Standardise descriptions. Use a fixed noun-first pattern such as “Bearing, deep groove, 6204-2RS, steel” so similar items sort together and true duplicates stand out.
- Decide serial versus batch. Track high-value, repairable or warranty-bearing components by serial number; track items bought in lots, such as filters, seals or lubricants with a shelf life, by batch.
- Label bins and parts. Print barcode or QR labels so every receipt, issue and transfer is a scan rather than typing a twelve-character code from memory.
Avadar lets anyone find an item by whatever identifier they hold: barcode, serial, batch, name, customer or supplier. A technician who only has the number stamped on a failed motor can still locate the replacement. Label templates for barcodes and QR codes are built in on every edition and plan; for layout tips see our barcode label printing guide.
Spare parts inventory software checklist
Use this table when you compare products. The right-hand column shows where each requirement sits in Avadar.
| Requirement | Why it matters for spare parts | In Avadar |
|---|---|---|
| Scan-based receipt, issue and transfer | Eliminates typing errors between look-alike codes | All editions and plans; phone camera or scanner |
| Search by serial, batch or barcode | Find a part from whatever is printed on it | All editions and plans |
| Several storerooms with transfers | Central store, line-side cabinets, branch sites | Start: one warehouse; Pro: several; Elite: multi-branch network |
| Stock card (kardex) and movement history | Explains every variance after a count | All plans, with Excel export |
| Stocktaking by scanning | Fast counts compared against system stock | All plans |
| Warranty per serial number | Know at once whether a failed unit is still covered | Industry and Trade editions, Pro plan and above |
| Loaned tools and fixed assets | See who is holding which tool | Industry and Trade editions |
| Slow-moving, expiry-risk and shortage-trend reports | Buy on evidence instead of habit | All three editions, Pro plan and above |
| Hidden warehouse cost analysis | Reveal money tied up in dead and surplus stock | Industry edition, Elite plan |
| Read-only auditor role | Lets reviewers check stock without changing it | Pro plan and above |
Serial number tracking and warranty for spare parts
When an expensive component fails, the first question is whether it is still under warranty. If that answer lives in a paper file, the claim window often closes before anyone looks. In the Avadar Industry and Trade editions, from the Pro plan upward, each item’s warranty is recorded with its serial, type and duration. At issue, the operator picks the serial from a list of units actually in stock, and the system shows valid and expired warranties separately.
Two kinds of business benefit. A plant that buys critical components with supplier warranties can return failed units on time. A parts distributor can tell exactly which serial went to which customer when a claim arrives. The Cargo edition, designed for logistics companies, does not include warranty features.
Tracking loaned tools and assets in the storeroom
Special tools are the items most likely to vanish: they leave with a technician for a two-hour job and are found months later in a van. In Avadar Industry and Avadar Trade, assets and loaned tools are tracked separately from consumable parts, so you can see where each tool is and who has it. Trade also offers specialised issue types, including loan, sample, transfer, damage and theft, and on its Elite plan you can define a separate approval chain for handing out tools. On every plan, the recipient signs the delivery note when goods are received, issued or transferred.
A practical rule: never book a returnable tool as consumed. Once it is consumed in the system it no longer exists, and nobody will chase it.
Cycle counting a spare parts store with a scanner
Counting MRO stock once a year, all at once, rarely works: too many tiny items, faded labels and a store that must stay open for breakdowns. Split the shelves into zones and count critical, high-value parts more often than cheap consumables. Scan-based stocktaking is available on all Avadar plans, and the Industry edition adds periodic stocktaking.
When a count does not match, the stock card for that item shows every receipt, issue and transfer behind the number, so you can trace whether a part was used without an issue note or put back in the wrong bin. Avadar can also display data while the internet connection is down, which helps in basements and remote workshops with patchy coverage.
Finding slow-moving spares and preventing stockouts
Almost every storeroom repeats two costly errors: reordering a part that is already gathering dust on a back shelf, and running dry on one whose usage nobody followed. From the Pro plan, on all three editions, Avadar’s analytical reports show expiry risk, slow-moving items and shortage trends. Use the slow-mover list to review purchasing and write-offs, and the shortage trend to reorder fast-rising parts earlier.
The Industry edition on the Elite plan goes one step further with a hidden-cost analysis that sorts costs into 8 buckets (dead stock, quarantined goods, expired and soon-to-expire items, shortages, surplus, storage space and extra handling) and proposes an action for each. For a store that has accumulated parts over many years, this is often where freed-up shelf space and cash first appear.
Hypothetical example: a bottling plant loads its data and discovers dozens of belts and bearings reserved for a filler line that was removed long ago, while hydraulic filters for its main press show a rising shortage trend. Next month’s purchase list is built from those two reports instead of from memory. For batch-tracked consumables, our article on batch tracking and product recall covers expiry control in detail.
Which Avadar edition and plan fits a spare parts warehouse?
Avadar comes in three editions, and the Start, Pro and Elite plans apply to all of them; a higher plan never removes anything from a lower one.
- Plant maintenance store inside a factory: Avadar Industry. Pro for warranty, batches and analytics; Elite for hidden-cost analysis.
- Spare parts dealer or distributor: Avadar Trade. Start includes commercial documents and specialised issue types; Pro adds warranty and accounting export.
- Contractor lending tools across sites: Avadar Trade on Elite if tool handover needs a formal approval chain.
- A single small store without serials or warranties: Industry or Trade on Start.
You can use Avadar hosted by P-Soft or install it on a server in your own building, then work from a browser, the Android app or a home-screen shortcut. Please note that its interface is currently in Persian. If your parts list lives in Excel or older software today, the P-Soft team can carry it across, with the extent of that work fixed by your contract and plan.
Frequently Asked Questions
What is spare parts inventory software?
It is a system that records every spare part with a unique code, serial or batch, tracks stock across storerooms and reports slow movers and shortages so maintenance never waits for a part.
Can Avadar track spare parts by serial number?
Yes. Search by serial works on every plan, and warranty tracking per serial is part of the Industry and Trade editions from the Pro plan.
Can I manage several storerooms in one system?
Yes. Start covers one warehouse, Pro covers several with transfers between them, and Elite supports a multi-branch network.
Which plan shows slow-moving parts?
Slow-moving, expiry-risk and shortage-trend reports start at Pro on all editions. Hidden-cost analysis needs the Industry edition on Elite.
Does Avadar work without an internet connection?
It can be installed on your own server even without internet access, and on every plan data stays viewable during an outage.
