Customer and Supplier Business Identifiers on Trade Documents

Sales documents stop bouncing back when every customer and supplier has one master record holding their business identifiers (national ID or company registration number, tax/economic number, bank account number (IBAN) and postal code) and every invoice pulls those values from that record instead of someone retyping them. In Avadar’s Trade edition these identifiers live in the commercial documents module with validity checks, VAT appears on sales documents, each document is numbered and the accountant is notified automatically.
This guide is written for wholesalers, distributors and contractors who keep hearing the same reply from customers’ finance teams: “We can’t book this invoice, the company details are wrong, please reissue it.” It does not cover connecting your warehouse to accounting or approving goods leaving the building. It is about the trading partner data itself: which fields matter, where they usually go wrong, and how a trade-focused inventory system keeps them clean.
Why do customers reject invoices over business partner details?
In a typical distribution business, customer details are scattered. Sales keeps a spreadsheet, the warehouse has an old contact list, last year’s invoices carry yet another version, and one long-serving employee simply remembers. Whenever a new invoice or delivery note is raised, someone copies the numbers by hand from whichever source is nearest. Manual copying is the root of most rejections.
The same handful of mistakes turns up again and again:
- Transposed digits in a tax number or company registration number, unnoticed until the customer’s accounts department checks it.
- Person and company mixed up: the director’s personal ID is stored where the company’s own registration number belongs.
- Trading name instead of legal name: the invoice says “Northside Tiles” while the buyer on record is “Northside Building Supplies Ltd”.
- Outdated address and postal code after the customer moved to a new warehouse and nobody updated the file.
- Incomplete IBAN on a supplier record, discovered only on the day a payment fails.
A rejected invoice costs more than reprinting one page. The goods may already be on the truck, the document may already sit in the books and now has to be cancelled and replaced, and the customer holds payment until the corrected copy arrives. Every rejection quietly pushes your cash collection back by days.
Where should customer and supplier business identifiers be stored?
The rule is simple: each trading partner has exactly one master record, and no document can be issued without picking a partner from that list. The salesperson selects the customer rather than typing details, and the identifiers fill themselves in. If a value is wrong, it is corrected once in the master record and every later document is right.
The table below summarises what each identifier is generally used for and the error most often seen. Names and formats differ from country to country, so treat it as orientation, not tax or legal advice:
| Identifier | Applies to | Typical use on documents | Common error |
|---|---|---|---|
| National ID | Individuals (sole traders, private buyers) | Identifying a private buyer or seller | Owner’s ID entered for a limited company |
| Company registration number | Legal entities | Official identification of a corporate buyer or seller | One digit missing or extra |
| Tax / economic number | Registered businesses | Printed on sales and purchase documents | Old number, or one belonging to another branch |
| Bank account number (IBAN) | Mainly suppliers and payees | Payments and settlement | Dropped character or wrong country prefix |
| Postal code | Every partner | Registered address and deliveries | Code of a previous location |
In Avadar Trade, all five identifiers are recorded for customers and suppliers in the commercial documents module, and the software checks them for validity. A number that is obviously incomplete or malformed is flagged at the moment of entry, not after the invoice reaches the customer. This module is included in every plan of the Trade edition: Start, Pro and Elite.
Showing VAT on the sales document itself
Plenty of distributors print the sales document from the warehouse system without VAT, and the accountant adds it later in the finance package. The result is two different figures for the same sale: the one the driver and the storekeeper saw, and the one the customer is actually asked to pay.
When VAT is shown on the sales document, the net amount, the VAT amount and the total sit side by side and everyone works from the same piece of paper. Avadar Trade displays VAT on sales documents. Rates and rules are for your accountant or tax adviser to set; neither this article nor the software gives tax advice, files returns or replaces any official system.
A practical tip: before going live, sit down with your accountant, decide which product groups carry VAT and which do not, and configure it once, so salespeople are not making that call invoice by invoice.
Document numbers and an automatic heads-up to accounting
A classic friction point between sales and finance is the invoice raised at the sales desk that nobody mentioned to accounting. At month end the accountant faces a stack of documents with no idea who issued them, when, or for which customer.
In Avadar Trade every commercial document receives a document number, and issuing it notifies the accountant automatically. Finance sees new documents the same day and can phone the sales desk if an identifier looks suspicious, ideally before the goods leave. Because every change in the system is logged, you can also see who edited a customer’s details and when.
Supplier master data deserves the same care
Attention usually goes to customers, yet supplier records need the same identifiers. They matter in three places:
- Goods receipt: an incoming delivery should be linked to the right supplier with the right identifiers so it lands in the correct account.
- Payment: the IBAN in the supplier record is what payments are based on. One wrong character means money that bounces or goes astray.
- Traceability: Avadar lets you search any item by supplier name as well as barcode, serial or batch. Duplicate supplier records under slightly different names make that search incomplete.
Checklist: cleaning business partner data before you switch systems
Moving from spreadsheets or an older package? Do this first. The P-Soft team migrates your existing data (the scope is agreed per plan and contract), but clean data in means clean data out:
- Sort the customer list by identifier and merge duplicates.
- Separate each company’s legal name from its trading name.
- Mark every partner as an individual or a company and attach the matching identifier.
- Flag customers with no purchase in the last year so their details are re-confirmed before the next order.
- Compare supplier IBANs against the last successful payment.
- Name one person responsible for approving new partners, so not everyone can create records.
Warehouse system or accounting package: which one owns partner data?
A fair question: doesn’t the accounting software already hold all this? It does, but in many distribution companies the invoice and the delivery note are born at the sales desk and in the warehouse. If identifiers exist only in accounting, anything issued upstream is incomplete or hand-typed. It is better to issue commercial documents complete from the start and pass them on afterwards.
For that second step, Avadar Trade on the Pro and Elite plans exports documents in a format suited to common accounting software, with an adjustable chart-of-accounts mapping. We describe that bridge in exporting warehouse data to accounting software. The Trade edition also separates exit types on every plan (sale, transfer, sample, loan, damage, theft), and clean partner identifiers are what make those reports meaningful; see recording stock write-offs.
Which Avadar Trade plan covers this?
| Need | Start | Pro | Elite |
|---|---|---|---|
| Partner identifiers for customers and suppliers, checked for validity | ✓ | ✓ | ✓ |
| VAT on sales documents, document numbering, accountant notification | ✓ | ✓ | ✓ |
| Specialised exit types | ✓ | ✓ | ✓ |
| Export for accounting software with adjustable account mapping | — | ✓ | ✓ |
| Multi-step approval with a digital signature at each step | — | — | ✓ |
If all you need is invoices issued with correct details, Start is enough. If your accountant should never retype a document, choose Pro. If goods leaving the warehouse also need several sign-offs, look at Elite; the approval chain is explained in goods exit approval workflow.
Frequently Asked Questions
Does Avadar Trade validate tax numbers and company IDs?
Yes. Customer and supplier identifiers (national ID, company registration number, tax/economic number, IBAN and postal code) are entered with validity checks, so incomplete or malformed values are caught at entry.
Does the software submit invoices to the tax authority?
No, and we make no such claim. Avadar Trade shows VAT on sales documents; tax filing and any official submission remain with your accountant or adviser.
Which plans include commercial documents?
All three Trade edition plans: Start, Pro and Elite. Export for accounting software starts at Pro.
If someone edits a customer’s details, can we see who did it?
Yes. Every change in the system is logged, and roles are separate, so you can limit who may create or edit trading partners.
Our customer list is in Excel. Do we have to re-enter it?
No. The P-Soft team carries your current records over from spreadsheets or the old system; how much is moved is settled in your contract and plan. Cleaning the list with the checklist above first makes the move smoother.
