Exporting Warehouse Data to Accounting Software

Exporting Warehouse Data to Accounting Software — Barsavosh Fanavaran guide

Exporting warehouse data to accounting software means every receipt and issue recorded in the warehouse reaches the finance team with the same number, value and business partner, without anyone retyping it. Avadar Trade includes an accounting export with a configurable account table, built for common Iranian accounting packages; for any other system, its Excel export is the route.

In many trading and distribution companies, accounting was set up years before the warehouse system. The result is two islands: storekeepers work in one tool, while accountants re-enter the same documents from paper slips or spreadsheets. This article is not about the difference between inventory and accounting software. It is about the bridge between them: what data needs to cross, where the crossing usually breaks, and how a disciplined export closes the gap.

Why do inventory figures and the general ledger drift apart?

A mismatch between physical stock and the inventory account rarely comes from one big mistake. It is usually the sum of many small slips:

  • Double keying. An accountant types an issue note from paper and swaps two digits.
  • Timing gaps. Goods left the warehouse on Monday, but the journal entry is posted on Friday, so the reports disagree all week.
  • Inconsistent business partners. The same customer exists under one name in the warehouse and another in the ledger.
  • Unlabelled outbound movements. Samples, loans and damaged goods all leave as “sales” or a generic issue, and finance cannot tell which account to hit.
  • Mismatched coding. Item groups in the warehouse were never mapped to the chart of accounts.

At year-end, each of these turns into hours of reconciliation meetings.

What should flow from the warehouse to accounting?

Before you pick any transfer method, agree on exactly which data must reach the books and at what level of detail. This table is a practical starting map:

Data Why finance needs it Control point
Document type and number To reference and trace the original Numbers must be unique, with no gaps
Document date To post in the right period The actual movement date, not the typing date
Business partner For receivables and payables Same trade identifiers in both systems
Items, quantities and values For cost of goods sold and revenue Item codes follow the agreed coding
VAT On sales documents Calculated on the sales document itself
Exit type To post to the right account (sale, damage, sample…) Each type mapped to its own account

If your item codes are still messy, fix that first. Our guide to item coding in the warehouse explains how to build codes that both storekeepers and accountants can live with. No export, however precise, produces clean books from untidy codes.

Avadar Trade’s accounting export: what it does and who it suits

P-Soft, a software house based in Isfahan, Iran, builds Avadar for scan-driven stock control. Its Trade edition is aimed at trading, distribution and contracting businesses. It does not replace your accounting software; it works alongside it. Its accounting export is prepared for three accounting packages widely used in Iran, Sepidar, Hamkaran System and Holoo, and the account table is configurable, so you decide which account each document type or item group lands in. This export is part of the Pro and Elite plans of the Trade edition.

To be clear for readers outside Iran: the built-in export targets those Iranian packages. If you run a different accounting system, Avadar’s Excel export, which is available on every plan, is the practical path, and the export is in Persian. The exact import procedure into your own software is best reviewed with a P-Soft specialist during a demo.

Validated trade identifiers: clean partner data from the start

Many transfer errors come from business partners rather than items. From the Start plan, Avadar Trade records trade identifiers for customers and suppliers, namely national ID numbers, company registration IDs, economic (tax registration) codes, IBAN-style SHEBA bank numbers and postal codes, and checks them for validity. An invalid identifier gets stopped at entry, instead of travelling into the ledger and surfacing months later.

The same commercial-documents feature applies VAT to sales documents, numbers every document and automatically notifies the accountant when a new one is waiting.

Exit types: posting every stock reduction to the right account

To post correctly, finance needs to know why goods left. From the Start plan, the Trade edition classifies outbound movements by purpose: sale, transfer, theft, damage, sample, loan and others. With the configurable account table, each type can map to its own account. A hypothetical example: a distributor of cleaning products gives retailers a few cartons as samples every month. Recorded as “sample”, those movements go to marketing expense rather than revenue, so gross margin does not swing for no reason. The same logic applies to tools handed out as loans, covered in our guide to tool and equipment lending.

Features and plans at a glance

Avadar Trade feature Start Pro Elite
Commercial documents, validated trade identifiers, VAT on sales ✓ ✓ ✓
Specialised exit types ✓ ✓ ✓
Excel export (Persian) ✓ ✓ ✓
Accounting export for Sepidar, Hamkaran System and Holoo, with a configurable account table — ✓ ✓
Read-only auditor role and fine-grained permissions — ✓ ✓
Multi-step approval with digital signatures (accountant, supervisor, project manager) — — ✓

On the Elite plan, once the approval workflow is switched on, stock is reduced only after the last approval. The accountant can be one of the signers, so a document reaching the ledger has already passed under their eyes.

Rollout checklist for a warehouse-to-accounting export

  1. Get from your accountant the accounts for inventory, revenue, cost of goods sold and non-sale outbound movements.
  2. Decide which account each exit type posts to and set it in the account table.
  3. Clean up business partners so each customer carries the same identifiers in both systems.
  4. Run a short pilot period and compare the export with the ledger line by line.
  5. Fix a schedule, daily or weekly, so documents never pile up.
  6. Name the person who investigates differences; the kardex (stock card) of the item is where every investigation should start.

If years of history sit in Excel or older software, P-Soft can migrate that data into its products, with the scope defined by your plan and contract.

Three common mistakes when transferring stock documents

  • One big transfer at month-end. Hundreds of documents at once make a single wrong line hard to find. Small, regular transfers surface errors close to when they happened.
  • Correcting in the ledger, not at the source. If finance fixes a value only in accounting, the same difference comes back next time. Corrections start from the original warehouse document.
  • Ignoring non-sale exits. Damage and theft are financial events too. Leave them out and book inventory will always exceed physical stock.
