Inventory Software for Paint & Chemical Manufacturers — Barsavosh Fanavaran guide

Inventory software for paint and chemical manufacturers has to do three things well: know the batch and expiry date of every drum and bag, compare what the production line actually used with the recipe, and warn you before raw materials go out of date. Avadar Industry covers all three in its Pro and Elite plans.

Coatings, adhesives, resins, sealants and printing inks share one awkward fact: the warehouse is part of product quality. A resin that sat too long behind a pallet of solvent, a half-used container of hardener that came back from the mixing room without a label, or a pigment bought from a second supplier can each change how a production batch turns out. This guide looks at the problem from the shop floor of a paint or chemical plant: what needs recording, where money quietly disappears, and which parts of the job a dedicated warehouse system actually takes over.

What makes chemical raw material inventory different?

A washing machine in a showroom is the same product today and in six months. A drum of alkyd resin is not. Several characteristics set chemical and paint warehouses apart from ordinary stock rooms:

  • Limited shelf life. Many resins, curing agents, additives and some pigments carry a recommended use-by date, after which they should be used with care or not at all.
  • Lot-to-lot variation. The same trade name from two deliveries can behave slightly differently in a formulation, so knowing which lot went into which finished batch matters.
  • Part-used containers. Opened drums and sacks return from production all the time. Without a return record, book stock and physical stock drift apart within weeks.
  • Recipe-driven consumption. Materials leave the store according to a formulation, not one item at a time. Any gap between recipe and actual usage is either waste or a recording mistake.
  • Several stores in one plant. Raw materials, finished goods, empty cans and labels, and returned goods from customers each need their own balance.

Questions your paint factory inventory software should answer in seconds

A practical way to judge any system is to write down the questions your storekeeper and production planner ask every week, then check whether the software answers them without a spreadsheet on the side.

Tracking raw material expiry dates from goods-in to the mixer

Expiry control starts at the loading dock, not on the day someone opens a drum that has gone off. A workable routine for a paint or chemical plant looks like this:

  1. Capture the lot at receipt. Record the supplier’s batch number and expiry date from the delivery paperwork on the goods receipt. If a supplier gives no date, let your quality team assign an internal one so nothing reaches a rack undated.
  2. Label every container. Print a barcode or QR label straight from the receipt and stick it on the drum, sack or pallet. From then on, staff scan the label instead of searching by name.
  3. Issue with a warning. When production requests material, Avadar points to the lot that expires first and alerts the storekeeper if a different one is scanned.
  4. Review expiry risk weekly. On Pro and Elite, the analytical reports for expiry risk and slow-moving stock show which materials approach their date in the coming weeks. Bring that list to the production planning meeting so a product using the material can be scheduled earlier, or so purchasing can discuss a return with the supplier under your agreement.

Formulas, production batches and inventory: closing the gap

In Avadar Industry you define a product structure and production formula for each finished product, and each production run can be handled as a project. Every project keeps four movements apart: material sent to the line, unused material returned, actual consumption, and scrap. Recording scrap separately is the part most plants skip. When tank residue, wash-out solvent or a failed batch is lumped into consumption, nobody can tell whether the formula was followed or material was simply lost.

Take a hypothetical example. A plant mixes a batch of satin wall paint and sends resin, titanium dioxide and solvent to the line according to the recipe. At the end, a partly used sack of pigment comes back and some material is lost cleaning the disperser. With the return and the scrap on their own documents, the production manager sees immediately how far actual usage drifted from the formula and at which step.

Per-project material reservation solves a familiar argument too. A rush order cannot quietly take the resin already set aside for another customer, because that quantity is no longer shown as available.

Quality quarantine and batch recall for chemical manufacturers

Many coatings plants test a sample of each incoming delivery before using it. Between arrival and approval, the goods must be in stock yet blocked from issue. Avadar’s quality quarantine creates exactly that state: the stock is visible, but it cannot go to production until the quality team releases it. The testing itself and its results stay outside Avadar; the software only applies the release-or-hold decision in the warehouse. For a deeper look at this routine, see our guide to quality quarantine in the warehouse.

On the finished-goods side, if a complaint arrives about one batch of paint, Elite lets you stop the whole batch with one click, shows straight away which customers took delivery of it, and logs every follow-up step. Our article on batch tracking and product recall walks through a recall step by step, and the comparison of FIFO, FEFO and LIFO helps you decide which issue rule fits each material.

The hidden cost of expired chemicals

Expired stock rarely shows up as a loss in monthly figures. It appears on stocktaking day as a few drums nobody can use. Avadar’s hidden cost analysis on Elite reviews inventory in eight categories, and four of them matter directly to a paint plant: dead stock, quarantine, expired and near-expiry. Each category comes with a practical suggestion.

Which Avadar plan suits a paint or resin plant?

Avadar comes in three editions, and a manufacturer needs Avadar Industry. The right plan depends on whether you need batches and formulas:

  • Start: one warehouse and up to 5 users, with scanning, labels, scan-based stocktaking, receiver signatures and basic reports. Production and batch tracking are not included, so most chemical plants will outgrow it quickly.
  • Pro: up to 5 warehouses and 20 users, plus product structure, production projects, material reservation, batch and expiry, quality quarantine, analytical reports and an auditor role. This is the sensible starting point for most paint and resin makers.
  • Elite: unlimited warehouses and users, adding one-click recall, hidden cost analysis and the full customer club, which suits a manufacturer selling through a wide dealer network.

Each plan is available as a hosted service or as an installation on a plant server, works in the browser and on Android, and keeps data viewable when the internet connection drops.

What Avadar does not do

To set expectations clearly: Avadar does not replace a lab information system, nor does it keep test results, it does not monitor warehouse temperature or storage conditions, and it does not replace your chemical safety documentation. Its job is accurate tracking of stock, lots, expiry, formulas and consumption.

Implementation checklist for a chemical warehouse

  1. Clean up your raw material codes. If two suppliers’ versions of a material are not interchangeable in the formula, give them separate codes.
  2. Decide for each material whether batch and expiry are mandatory.
  3. Set up the stores: raw materials, finished goods, packaging and, if needed, customer returns.
  4. Enter formulas for your best-selling products first; add the rest in stages.
  5. Count and label opening stock lot by lot. Existing stock lists, whether in Excel or a legacy program, can be imported by the P-Soft team within the scope agreed in your contract.
  6. Name the person who releases goods from quarantine.
  7. Put a weekly expiry-risk review on the production calendar.

Frequently Asked Questions

Which Avadar edition is meant for paint and chemical manufacturers?

Avadar Industry, because product structure, production formulas, production projects, batch and expiry tracking and quality quarantine all live in that edition.

Which plan includes expiry date alerts?

Batch numbers, expiry dates and the first-expired-first-out alert are part of the Pro and Elite plans of Avadar Industry.

Does Avadar monitor storage temperature?

No. Avadar records and controls stock, lots, expiry and material movements; monitoring temperature or warehouse equipment is outside its scope.

Is production scrap recorded separately from consumption?

Yes. In Avadar Industry production projects, issues, returns, consumption and scrap each have their own record, so the gap between recipe and reality is visible.

Our stock records are in Excel. Do we have to start from scratch?

No. P-Soft imports what you already have, whether spreadsheets or an older program, and the extent of the import is agreed in your contract.

Want to see batches, expiry alerts and production formulas on your own plant’s data? Book a demo of Avadar Industry and we will schedule a session around your materials.
