Inventory Software for Building-Materials Distributors

Inventory software for building-materials distributors works when every yard and warehouse has its own stock, every dispatch is booked with its exit type (sale, transfer, sample, damage and so on) and the receiver signs the delivery sheet. Avadar Trade does this with trade documents and VAT on sales documents, and adds a multi-stage dispatch approval on the Elite plan.
A builders’ merchant is not a tidy warehouse. Cement sits on pallets in an open yard, tiles arrive in cartons that each carry their own grade and shade, sanitary ware breaks if someone looks at it the wrong way, pipes and fittings come in dozens of sizes, and customers often want to take a tap or a mixer home to see it before ordering. The customer base is mixed too: a tiler buying two bags of adhesive, a developer collecting truckloads every week for several sites. This guide is written for owners and warehouse managers of distributors and yards, and shows where a stock system brings order to that mix and where it does not.
Why building-materials stock never matches the count
Ask any merchant where their stock differences come from and the same causes appear again and again:
- Loading without paperwork. “Load it now, we will invoice later” is heard every busy morning, and some of those loads are never invoiced.
- Unrecorded breakage. A carton of tiles or a basin broken while unloading stays in the books and turns up as a shortage next month.
- Samples and loans. Tiles sent to the showroom display, or a tap a customer borrowed to compare finishes, are rarely written down anywhere.
- Moves between sites. Goods go from the main yard to a branch, but only someone’s word records it.
- Vague item codes. When tiles of different grades or shades share one code, the quantity looks right but the delivery does not match what the customer ordered.
None of this is fixed by asking staff to be more careful. Each movement needs a document that is easier to create than to skip.
Dispatch notes and exit types for builders’ merchants
Avadar Trade includes specialised exit types from the Start plan: sale, transfer, theft, damage, sample, loan and others. The benefit shows at month end. Instead of one vague “shortage” figure, you see how much stock left as breakage, how much as display samples and how much as genuine sales. Here is a suggested mapping for a building-materials yard:
| What happens in the yard | Exit type | Practical tip |
|---|---|---|
| Loading a customer order | Sale | Get the receiver’s signature on the delivery sheet. |
| Sending goods to a branch or second yard | Transfer | Stock at the destination becomes traceable once booked. |
| Tiles or ceramics broken during handling | Damage | Book it the same day, not at stocktaking. |
| Cartons or pieces for the showroom | Sample | Reported separately from sales. |
| A piece a customer takes to compare | Loan | Record who took it. |
| Missing goods | Theft | Keep it apart from damage so patterns stand out. |
A receiver signature on the delivery sheet for goods in, goods out and transfers is included in every plan. When a contractor’s own driver collects the load, that signature ends the “I only got thirty cartons” debate before it starts.
Managing stock across several yards and warehouses
Many distributors run an open yard for cement and blocks, a covered shed for tiles and sanitary ware, and a showroom in town. In Avadar each can be a separate warehouse, with recorded transfers between them. The number of warehouses depends on the plan: one on Start, up to 5 on Pro and unlimited on Elite. Each operator sees only their own warehouse, so the yard team cannot change showroom stock by accident. Our guide to multi-warehouse management helps you decide how to split your sites.
A coding tip that saves a lot of grief: give each tile grade and each shade that cannot replace another its own item code. That decision is yours, not the software’s, but without it even the most accurate system will happily confirm the wrong delivery. Print barcode labels for each code from the ready-made templates, and a scan-based stock count with a phone or scanner becomes a matter of hours rather than days.
Trade documents, VAT and accounting export
Selling to construction companies and developers means formal invoices, and formal invoices need correct customer details. From the Start plan, Avadar Trade stores customer and supplier business identifiers (such as national and company IDs, economic code, IBAN and postal code) with validity checks, puts VAT on sales documents, numbers every document and notifies the accountant automatically. Avadar does not file these documents with tax authorities; its job is to make sure the base data is right before it reaches accounting.
From the Pro plan, there is an export designed for the Iranian accounting programs Holoo, Sepidar and Hamkaran System, where you configure which account each document posts to, so the accountant does not retype warehouse documents. The details are in our article on exporting warehouse data to accounting software.
Contractor accounts: dispatch approval and project reports
Distributors that give credit to contractors face a recurring question: who authorised this load against that project? On the Elite plan, Avadar Trade offers an optional multi-stage approval chain. A goods request passes through the accountant, the supervisor and the project manager in turn, each step carries a digital signature, and stock is reduced only after final approval. You decide which role approves which step. The full routine is described in our guide to the goods exit approval workflow.
Avadar Trade also provides purchase, consumption and balance reports per project. For a contractor customer, that means you can show what was bought for each of their sites and what remains, which helps both with settling accounts and with suggesting the next order.
Which Avadar plan fits a building-materials distributor?
Distributors need Avadar Trade. The relevant features by plan:
| Feature | Start | Pro | Elite |
|---|---|---|---|
| Warehouses and branches | 1 | up to 5 | unlimited |
| Trade documents, VAT, specialised exit types | yes | yes | yes |
| Barcode and QR, labels, scan stocktaking, receiver signature | yes | yes | yes |
| Analytical reports (slow-moving, shortage trend) | no | yes | yes |
| Export to Sepidar, Hamkaran System, Holoo | no | yes | yes |
| Multi-stage approval with digital signature, full customer club | no | no | yes |
All plans run in the cloud or on your own server, in the browser and on Android, and data stays viewable when the internet drops, which matters for yards on the edge of town.
What Avadar Trade does not do
Avadar is not built for truck routing or delivery-round planning, it does not run weighbridges, and the Trade edition does not cut pipes or rebar to length. Its focus is stock, dispatch notes, trade documents and dispatch approval.
Setup checklist for a builders’ merchant
- Define warehouses as they really exist: open yard, shed, showroom, branch.
- Standardise tile, ceramic and sanitary ware codes by grade and shade.
- Walk through the exit types with sales and yard staff so everyone knows where breakage, samples and loans go.
- Clean up business identifiers for your company customers before go-live.
- Count opening stock by scanning. Data you already keep in Excel or an older program can be brought across by P-Soft; the extent depends on plan and contract.
- On Elite, decide which customers or projects need the approval chain.
- Announce one simple rule to the yard: no dispatch note, no loading.
Frequently Asked Questions
Which Avadar edition suits a building-materials distributor?
Avadar Trade, because trade documents, VAT on sales documents, specialised exit types and dispatch approval live in that edition.
Can broken tiles and sanitary ware be recorded separately from sales?
Yes. A damage exit is booked and reported apart from sales, samples, loans and theft, and it is available from the Start plan of Avadar Trade.
Does Avadar export to our accounting software?
Yes, on Pro and Elite. Documents can be exported for Holoo, Sepidar or Hamkaran System, using an account table you set up yourself.
Does Avadar plan delivery truck routes?
No. Avadar Trade manages stock, dispatch notes, documents and approvals; routing and fleet planning are outside its scope.
How many yards and warehouses can one system hold?
One on Start, up to 5 on Pro and unlimited on Elite, with recorded transfers between them.
