Estate and Gated Community Management Software Guide

Estate and Gated Community Management Software Guide — Barsavosh Fanavaran guide

Good management software for residential estates and gated communities treats dozens of scattered villas, terraces and low-rise blocks as one community: it splits service charges fairly, moves amenity bookings and repair requests from the board’s inbox to residents’ phones, and makes board decisions visible through online voting. Hamkhoneh by P-Soft is built for exactly that, but it is not a gate-entry system and it does not read water or power meters.

This guide is for boards, managing agents and volunteer committees running spread-out estates rather than a single tower. We start with the everyday problems that make estates harder to run, then map each one to what Hamkhoneh actually does, show which plan suits which size of community, and list honestly what stays outside the software.

Why a gated community is harder to run than an apartment tower

In a tower, everyone shares one lobby, one plant room and one notice board. On an estate, homes are detached, semi-detached or grouped in small blocks along internal roads. The green areas, playground, clubhouse, pool and nursery belong to everyone, yet each sits in a different corner of the site. That layout changes the job of whoever manages it:

  • Home sizes vary a lot. A large villa may sit next to a compact flat, so a flat-rate fee feels unfair to many owners.
  • Many owners rent their homes out and live elsewhere, which makes it slow to reach the person who can actually decide.
  • A printed notice by the main gate never reaches the family at the far end of the estate.
  • Security staff and landscaping are big cost lines that benefit every home, occupied or empty.

Typical headaches for an estate board or HOA committee

  1. The owner register is out of date. A villa was sold, a tenant moved out, and the only current phone number is in the guard’s mobile.
  2. Collecting fees means chasing people street by street. Someone walks round with a paper list or gathers bank-transfer screenshots from several chat groups.
  3. The clubhouse calendar causes arguments. One household books every Friday and nobody else can see which slots are still open.
  4. Verbal repair reports vanish. A resident tells the night guard a street light is out; the morning shift never hears about it.
  5. General meetings miss quorum. Owners living in another city will not travel for one meeting, so decisions drift for months.

Estate management software for villas and multi-block communities

The starting point is an accurate picture of the estate. Hamkhoneh records each block and each home with its floor area, floor level, parking space and number of occupants. On a villa estate where “block” does not mean a building, many managers treat each phase or street as a block so that searches and reports feel natural. That is simply a naming choice for the committee.

You can look at homes in three ways: colour cards that show at a glance which are in arrears or vacant, a block map, or a plain table. Every home keeps a file for its owner, tenant and staff, and the record of who owned or lived there over time is preserved. When a villa changes hands, you can see which period an old balance belongs to. Ready-made filters (for example owners in arrears, prompt payers, board members) make finding the right people quick.

How to calculate service charges on a multi-block estate

Hamkhoneh offers six ways to calculate charges, and none of them is reserved for a higher plan. Which one you use is a community decision, ideally agreed at the general meeting. Here is where each method tends to fit on an estate:

Method Typical estate use Watch out for
Equal share Costs everyone uses equally, such as main-gate security staff Rarely fair on its own when villas and small flats sit side by side
Floor area Estates where home sizes differ widely The recorded area of each home must be accurate and accepted
Number of occupants Costs that grow with headcount, such as waste collection Occupant numbers need regular updates
Parking Estates with a shared covered car park Only homes with a space contribute
Floor level Apartment blocks with lifts inside the estate Usually irrelevant for villas
Combined Most estates, e.g. part equal, part by area (hypothetical split) The fairest option when homes are very different

Each method is explained step by step in how to calculate building service charges. Once the method is set, the monthly charge is issued automatically and is never posted twice or left half-done. Residents can upload a bank-transfer receipt for the manager to confirm. On the Pro plan, residents can also pay online from the portal or the app straight into the estate’s own merchant account, so money never passes through a board member’s personal account. Due-date reminders, late fees, early-payment incentives and one-off charges for unplanned work, such as resurfacing an internal road, come with Pro as well. See online service charge payment for how that works in practice.

Amenity booking: clubhouse, nursery and pool

Shared facilities are a big reason people buy on an estate, and a big source of friction. Every Hamkhoneh plan lets residents request the clubhouse or other shared spaces online, with the manager approving each request, and everyone can see which slots are taken.

If your estate runs a nursery, gym or pool, the Pro plan adds sessions, a capacity for each session, house rules per facility and automatic fees for those who sign up. Separating these fees from the general charge makes the old question “why should I pay for a pool I never use?” easier to settle, although how costs are divided between the charge and the fees remains the community’s decision.

Software for the estate board: roles, guards and online voting

Many people need information on an estate, but not everyone should see everything. Hamkhoneh defines separate roles for the manager, board members, the accountant, owners, tenants and guards, and the manager can remove a single permission from one specific person. Logging in needs only a phone number plus a code sent by text message.

  • Repair requests are logged by residents and tracked until the job is done, instead of relying on whoever was on shift. (All plans)
  • Polls and online voting show results live and transparently, and an owner abroad can take part. (All plans) Our general assembly guide helps you prepare the meeting itself.
  • SMS announcements go to everyone or to a group, such as one phase only. Targeted messages to owners in arrears, owners only or tenants only start on Pro.
  • Violations and a records office: logging a violation, a formal printed warning and an archive of minutes and letters, on Pro.
  • Android app for residents with instant alerts for a new charge, a confirmed payment or a vote result, on Pro. The resident web portal is in all plans.

Which Hamkhoneh plan fits your estate?

Feature Start Pro Elite
Homes (units) up to 30 up to 300 unlimited
Buildings per account 1 1 several from one account
Six charge methods, amenity booking, repairs, voting yes yes yes
Online payment, late fees, one-off charges no yes yes
Nursery, gym and pool with automatic fees no yes yes
Full accounting and analytics dashboard no yes yes
Insurance and contract expiry alerts no no yes

A rule of thumb: a small villa estate of up to 30 homes can start on Start. Most estates with facilities and a sizeable population need Pro, because online payment and pool or nursery fees live there. If you have more than 300 homes, or a managing agent runs several phases with separate committees and accounts, Elite is the sensible choice. If your community is a single high-rise instead, our article on managing high-rise and large complexes is the better fit.

What Hamkhoneh does not do on an estate

  • Control vehicle or visitor entry at the gate, or open barriers.
  • Video surveillance of the grounds.
  • Read water, electricity or gas meters, or split bills by each home’s actual consumption.
  • Schedule periodic servicing of pumps, wells or pool equipment.

You can still record the cost of these services in the estate accounts and spread it across homes through the charge.

Getting started: a short checklist

  1. List phases, blocks and homes with floor area and parking.
  2. Collect each owner’s and resident’s mobile number; that is how they sign in.
  3. Agree the charge method at the general meeting so it is not reopened later.
  4. On Pro or Elite, have the estate’s merchant account ready for online payment.
  5. Write down the rules for the clubhouse, pool and nursery, then set them up.

If your owner list and old balances sit in a spreadsheet or another program, the P-Soft team moves them into Hamkhoneh; what exactly gets transferred depends on the plan you choose and what the contract states.

Frequently Asked Questions

Does Hamkhoneh suit a villa estate with no apartment blocks?

Yes. Homes are recorded with area, parking and occupants, and you can name each street or phase as a block. Area-based or combined charges are common for villas.

Our community has 450 homes. Which plan do we need?

Pro covers up to 300 homes, so a 450-home community needs Elite, which has no unit limit.

Where does online payment money go?

Into the estate’s own merchant account, not a person’s account. Online payment is available from the Pro plan.

Can gate guards use the system?

Yes, guards have their own role and the manager can restrict what they see. Gate and barrier control itself is not part of Hamkhoneh.

Is board voting included in the Start plan?

Yes. Every plan, Start included, can run polls and online votes, and the count updates as people vote.
