Software for Gold and Coin Exchange Shops: A Buyer’s Guide

Software for gold and coin exchange shops has to get three things right every single time: each client’s and each fellow dealer’s balance kept separately in money, gold and coins; the exact rate a deal was closed at; and weight-based, like-for-like settlement with other traders. Zaran, P-Soft’s gold and coin accounting system, brings these together in its Pro plan and adds a manager’s trading desk and automatic flagging of suspicious invoices in Elite.
A coin and bullion dealer runs a very different business from a jewellery showroom. Most of the volume is coins and melted gold rather than finished pieces, the margin per deal is thin, and the real product is speed with zero mistakes. A short call, a “buy ten” or “sell five”, and seconds later the rate has already moved. This guide looks at the exchange counter from the inside: daily friction first, then what a system needs, then which Zaran plan fits which shop.
What goes wrong on a busy coin exchange counter?
Spend a normal day behind the counter of a coin dealer and you will notice the same pressure points again and again. None of them come from poor bookkeeping skills; they come from volume and pace:
- Verbal deals at a moving rate: a regular client phones in an order, the market shifts within the minute, and the next morning nobody agrees on which figure was promised.
- Balances in three forms: the same client may be owed money, owe you four coins and have some melted gold sitting with you. Squeezing all of that into one money column hides what is really going on.
- Constant swaps with other dealers: traders lend and borrow coins and gold from each other all week. If the trade ledger is loose, Friday’s reconciliation stretches from ten minutes to a whole afternoon.
- Bank transfers and cheques: part of the money moves by transfer, part by post-dated cheque, and due dates slip if nothing reminds you.
- Errors and tampering: with several staff writing invoices, one wrong purity, one wrong rate or a deal entered in the wrong direction can stay hidden until month end.
Gold and coin dealer software: what should it actually do?
Before comparing products, put your requirements on paper. The table links each daily problem to the feature you should look for, and shows the Zaran plan where that feature lives.
| Daily problem | What the system needs | Zaran plan |
|---|---|---|
| Disputes over the agreed rate | One-tap orders with a price lock, so the client confirms the locked figure | Pro and Elite |
| Mixed-up client accounts | Separate money, gold and coin balances with a searchable transaction history | Pro and Elite |
| Slow settlement with other traders | Gold remittances and settlement by weight: gold for gold, coin for coin | Pro and Elite |
| Forgotten cheque due dates | A cheque module next to cash and bank | Cheques from Pro; cash and bank in every plan |
| The owner setting the day’s rate fast | A single-screen trading desk for the manager | Elite |
| Invoices that do not add up | Automatic flagging of suspicious invoices plus a log of user changes | Elite |
Coin exchange accounting: three balances per account
On an exchange counter the list of accounts is not just retail clients. Fellow traders, wholesalers and large private buyers all sit in the same ledger. Zaran tracks every one of them in three independent figures: what is owed in money, in gold and in coins. The history behind those figures can be searched and filtered, so you can pull up only last week’s coin deals with one trader without scrolling through everything else.
When a client asks “how many coins do I still have with you?”, the answer is on screen. Downloadable periodic statements let you send a wholesale client the same numbers you are looking at, and remittance tracking sits in the same area. All of this belongs to the Pro and Elite plans. If you need the bookkeeping detail of coin item codes and coin invoices, see our guide to gold coin accounting; here we stay with the shop-management view.
Record small deposits too
A common habit in the trade: a familiar client pays part today and collects the coins tomorrow. If that deposit lives only in the head of whoever was on shift, it vanishes at the next shift change. Once it is posted to the client’s account, anyone at the counter sees the same picture.
Coin buying and selling software with a rate board and price lock
Most arguments on an exchange counter are about price. Zaran’s rate board shows live prices for gold, coins and other items in clear, grouped sections, each with a price trend chart beside it. Rates are checked automatically for correctness before they are displayed, and a live indicator tells clients whether the market is currently open or closed, so nobody places an order at the wrong moment.
You decide which clients get access to the customer app. Login uses the client’s phone number plus a single-use code, and no app store is involved in putting the app on their phone. They see the rates and send a buy or sell order with a single tap. The price is locked at that instant and the client approves exactly that figure; a swing a few seconds later does not change the deal. We explain the reasoning in more depth in how a gold price lock works. A shop notice area in the app also carries your rules, opening hours and contact numbers.
Settling coins with other dealers: by weight and like for like
In the coin trade, a large share of movement happens between dealers themselves. Zaran Pro and Elite include gold remittances and weight settlement between traders: a gold debt is closed with gold and a coin debt with coins, without converting to money and back every time. Wholesale invoicing and melting and separation are in the same plans, so a dealer who handles melted gold can post the exact input and output of each melt.
A hypothetical example: dealer A hands ten full coins to dealer B in the morning and takes back six full coins plus some melted gold in the afternoon. Kept in two separate kinds, the result is obvious: four coins owed to A and a separate gold debt in the other direction. Converted into money, the final number depends on the rate at the moment of conversion and both sides can read it differently. The full remittance cycle is covered in gold remittances and weight settlement.
Running the exchange: trading desk and fraud control
The owner of an exchange shop usually worries about two things: setting the day’s rate quickly and knowing nobody has quietly changed a number. Zaran Elite covers both:
- Manager’s trading desk: the day’s rate and phone deals are set and recorded from one screen, with no hopping between forms.
- Suspicious invoice detection: when deal direction, purity or rate on an invoice do not fit together, the system flags it on its own.
- User change history: every edit is logged, so you can see who changed what.
- Closing the financial period: once a period is closed, its accounts stay as they were.
Pro allows up to five users with separate roles, and in Elite the number of users follows your contract. The cashier, the counter staff and the bookkeeper each see only their part.
Cash, bank and cheques
Cash, bank and account parties are part of every Zaran plan. Cheques arrive with Pro, together with the full financial reports: stock card, trial balance and profit and loss. Even the Start plan has the daily dashboard and an always-visible balance bar. For a dealer who wants to know at closing time how many coins of each type are in the safe, the stock card is the report to open.
Which Zaran plan suits your exchange shop?
| Your shop | Plan | Why |
|---|---|---|
| One person at the counter, few trade partners | Start | Invoices with weight and purity, cash and bank, dashboard; one user |
| Several staff, regular clients, daily dealings with other traders | Pro | Three-way balances, customer app with price lock, weight settlement, cheques, full reports; up to five users |
| High-volume dealer with a manager away from the counter | Elite | Everything in Pro plus the trading desk, suspicious invoice flags and change history |
If you run more than one shop: multi-branch management in Zaran is coming soon; for now each shop keeps its own books.
Getting started: a checklist
- List every coin type and form of gold you trade and give each your own item code.
- Count the opening stock in the safe, kind by kind.
- Pull every client’s and trader’s balance from your old ledger in three columns: money, gold, coins.
- Decide which clients get the app and price-locked ordering.
- Give each user a role: who writes invoices, who closes the till.
- Write the opening hours and order rules for the app notice.
You do not have to retype old ledgers: P-Soft’s team transfers your Excel sheets or the records held in your old program into Zaran, with the scope agreed in your plan and contract.
Frequently Asked Questions
Is Zaran suitable for a coin exchange shop, or only for jewellers?
Gold exchange shops are one of Zaran’s core audiences, alongside galleries, jewellery stores and wholesalers. It focuses purely on trading and accounting for gold and coins.
Are a client’s coin balances kept apart from money balances?
Yes. From the Pro plan up, each client’s coin position has its own column next to money and gold, and the transaction history is searchable.
Which plan includes coin-for-coin settlement with other dealers?
Pro and Elite. Both include remittances and like-for-like weight settlement between traders.
What happens if the rate moves after a client orders?
Nothing changes: the deal closes at the locked figure. Price-locked ordering is available from the Pro plan.
Can Zaran run several exchange shops at once?
Support for several branches is listed as coming soon. Until then, each shop’s accounts are kept separately.
