Gold & Jewelry Accounting Software: The Complete Buyer’s Guide

Gold & Jewelry Accounting Software: The Complete Buyer’s Guide

Gold accounting software is a system that keeps a jewelry store’s books in two units at once: money and gold weight. It prices every invoice from weight, karat, the day’s gold rate, the making charge and profit, tracks stock in grams and karat, and shows each account balance in cash, gold and coins. General-purpose accounting software understands only money, and that is the core difference.

This guide explains what a gold and jewelry accounting system actually has to do, who needs one, where paper ledgers, spreadsheets and generic bookkeeping tools fall short, and what to check before you commit to a gold shop software package. At the end you will see how Zaran gold and jewelry accounting software covers each of these needs.

What is gold accounting software and how is it different from regular accounting?

In an ordinary retail store each item has a fixed price and the books deal only with money. A jewelry store works differently: the value of a bangle depends on its weight, its karat (purity), the market rate at that moment and the making charge (labor) behind it. A wholesale partner may settle a debt in gold instead of cash, and a customer may trade in old gold for a new piece. Gold accounting therefore has to work in several units at the same time:

  • Currency: for the cash drawer, bank accounts, checks and cash balances. In Iran this is the rial, although prices are usually quoted in toman (1 toman = 10 rials).
  • Gold weight in grams, by karat: for stock, trade partner accounts and weight-based settlement.
  • Number of coins by type: for bullion coin trading (in the Iranian market, full, half, quarter and gram coins).

Generic accounting software normally has a single amount column. You can type the weight into a description field, but you will never get a weight-based stock report, karat conversion or a gold balance per trade partner out of it. Dedicated jewelry store accounting software builds these concepts into the invoice and the ledgers themselves and produces its reports on that basis.

Who needs gold and jewelry accounting software?

Jewelry stores and gold galleries

Most of a gallery’s workload is retail sales invoices, buying back old gold and reconciling the cash drawer at the end of the day. For these businesses the priorities are fast invoicing, accurate making-charge and profit calculation, and a clear report of the gold weight sitting in the display cases.

Gold wholesalers

A gold wholesaler (in Iran called a bonakdar) trades with dozens of retail partners, and much of the bookkeeping is in weight: “this partner owes us 120 grams of 750 gold”. Gold transfer slips, gold-for-gold and coin-for-coin settlement, and keeping cash and gold balances side by side are the heart of wholesale work. We cover this in detail in our guide to gold wholesale accounting.

Gold and coin exchanges

At a gold exchange the rate changes minute by minute, and regular customers often want to see the price and place an order before they come in. Besides accounting, these businesses need a reliable price board and a way to take orders at a firm, confirmed price.

What should good gold shop accounting software do?

The list below is the minimum a gold accounting system needs for the daily work of a store, gallery or wholesale business. Measure each point against how your business really runs.

1. Exact weight, karat, making charge and profit on every invoice

The standard way to price gold jewelry in the Iranian market is: price = weight × per-gram rate for that karat + making charge + seller’s profit + VAT. In Iran, VAT on gold jewelry is charged only on the making charge and the profit, not on the value of the gold itself. The software should run this formula without rounding errors, to the precision of a thousandth of a gram (called a soot in Iran), and be flexible enough for a making charge set as a percentage or a fixed amount and for a variable profit margin. For a step-by-step walkthrough with numbers, read our gold jewelry price calculation guide.

Karat conversion is equally essential. Gold fineness is usually written in parts per thousand: 585 is 14K, 750 is 18K, 875 and 916 are 21K and 22K, and 999 is pure 24K. Gold arriving at 900 or 995 fineness has to be converted to a standard equivalent (in Iran usually 750, i.e. 18K) so that stock and balances can be added up. The basic rule is simple: 750-equivalent weight = weight × fineness ÷ 750. Pricing per gram and per mithqal (the traditional Iranian unit, 1 mithqal = 4.608 grams) should be supported inside the software.

2. Cash drawer, bank and checks

A jewelry store takes and makes payments in cash, card transfers, bank deposits and checks at the same time. The software should keep each cash drawer and each bank account separate, track incoming and outgoing checks by due date, and let you compare the book balance of the drawer with the physical count at closing time.

3. Gold transfers and weight-based settlement

When a store takes stock from a wholesaler or lends gold to a partner, the debt is not necessarily in money. The program should record a gold transfer (havaleh) and settle a partner’s account in gold or coins: gold for gold, coin for coin, without forcing you to convert to cash and back every time.

4. Item coding and weight-based inventory

Every piece or item group needs a code, and its stock must be reportable by weight and karat. A coding structure that is designed properly from day one makes reporting and stocktaking far easier later. Entering opening stock is also essential when you move to a new system. We explain how to design coding in our gold and jewelry inventory coding guide.

5. Melting and refining

Old gold that the store buys is usually melted down, and afterwards the output weight and karat can differ from the input. The software should record the input and output of each melting and separation step precisely so that weight or karat differences do not disappear from the books and actual stock matches book stock.

6. Financial and management reports

A jewelry store owner should know at any moment where the cash drawer stands, how much gold is in the display cases and the safe, and how much gold is owed to or by trade partners. The core reports are the account statement, journal, stock and stock card (kardex), trial balance and profit and loss. A daily dashboard lets you see the big picture without opening detailed reports.

7. Fraud prevention and user control

Where several salespeople work the counter, control matters: each user should reach only the areas they need, later edits to invoices should be logged, and invoices whose rate or karat do not fit the day’s norms should stand out. Closing the fiscal period prevents anyone from altering past records. We cover this in depth in our guide to cash control and fraud prevention in jewelry stores.

8. Tested backups

Partner balances and gold stock records are a jewelry business’s most valuable data. Regular backups are necessary but not enough; you need to know the backup can actually be restored. Ask any vendor how, and how often, they verify that restores work.

9. Price board and customer app

Many galleries and exchanges now publish their rates to regular customers. A live gold price board that is connected to the accounting system and lets customers order at a locked price cuts down on phone calls and ends arguments about “the rate you quoted me”. Read more in our guide to live gold price boards and customer ordering apps.

Paper ledger and spreadsheet, generic accounting software, or dedicated gold software?

Many jewelers started with a paper ledger or a spreadsheet, and some use generic accounting software. The table compares the three approaches on the key needs of a gold business:

Need Ledger or spreadsheet Generic accounting software Dedicated gold software
Pricing from weight, karat, making charge and profit Manual, or formulas that can be copied wrongly Usually missing; amounts typed in by hand Automatic inside the invoice
Weight-based stock by karat Kept by hand, separately Usually quantity and value only Grams and karat, with stock card
Partner balance in cash, gold and coins Several columns and sheets Cash only All three in one account
Gold transfers and weight settlement Handwritten notes Not supported Transfers and gold-for-gold, coin-for-coin settlement
Change tracking and user access Practically impossible Depends on the product Separate roles and change history
Price board and customer orders No No In products that include it

In-depth guides to gold and jewelry accounting

Each topic in this guide has its own article with details and practical examples:

Frequently Asked Questions

How is gold accounting software different from regular accounting software?

Dedicated gold software keeps the books both in money and in weight and karat, prices invoices automatically from weight, rate, making charge and profit, and supports weight-based settlement with trade partners. Generic accounting software normally works with money amounts only.

Does a small jewelry store really need accounting software?

Yes. Even in a one-person shop, a making-charge error or untracked gold weight comes straight out of your profit. The Zaran Start plan, with one user, is designed precisely for accurate accounting of a single store.

What amount is VAT charged on in an Iranian gold invoice?

Under Iranian law, VAT on gold jewelry is charged on the making charge and the seller’s profit, at the rate approved for that year, not on the value of the gold. For the details of current regulations, check with your accountant.

Is Zaran suitable for gold wholesalers and gold exchanges?

Yes. Zaran is built for galleries, stores, gold exchanges and wholesalers, and from the Pro plan up it includes wholesale invoices, gold transfers, weight-based settlement and counterparty balances in cash, gold and coins.

How do customers sign in to the Zaran app?

Customers sign in with their mobile number and a one-time code, provided the store has granted them access. The app installs on the phone without going through an app store.

Does Zaran support multiple branches?

Multi-branch management is currently listed as “coming soon” for Zaran and is not yet available.
